Job Summary

The Assistant Director of Talent Acquisition and Operations, oversees talent acquisition processes and operational activities. Responsibilities include overseeing various functional areas including background checks, student hiring, I-9 compliance, student and temporary employment, FIU affiliates, and management of relationships with staffing vendors, collaboration on student events, and supervision of staff.

  • Collaborates closely with the Director to develop and implement strategic initiatives aimed at enhancing talent acquisition processes and operational efficiency.
  • Identifies opportunities for streamlining processes and implementing solutions to address new and existing challenges in talent acquisition and operational areas.
  • Oversees the pre-employment process to ensure compliance with organizational policies and legal requirements. Implements best practices to maintain accuracy and efficiency.
  • Oversees the process for documenting FIU Affiliates, including volunteers, interns, consultants, research labs, etc.
  • Directs the hiring process for students, including recruitment, selection, and onboarding. Fosters a positive experience for student employees while meeting organizational needs.
  • Ensures adherence to I-9 compliance regulations by overseeing the proper completion and maintenance of I-9 forms. Stays abreast of changes in immigration laws and regulations.
  • Reviews and approves offers for student and temporary employment positions, ensuring alignment with organizational guidelines and budgetary constraints.
  • Cultivates and manages relationships with staffing vendors to ensure the delivery of high-quality services and competitive pricing. Negotiates contracts and monitor performance metrics.
  • Collaborates with relevant stakeholders to plan and execute student events, fostering engagement and enhancing the university community's experience.
  • Assists in the planning, coordination, and design of training initiatives for the university community. Develops relevant content to address the needs of diverse audiences.
  • Provides supervision, guidance, and mentorship to team members. Fosters a culture of collaboration, accountability, and continuous improvement.
  • Ensures compliance with university policies, procedures, and applicable regulations throughout the recruitment process. Stays informed of changes in employment laws and regulations impacting recruitment practices.
  • Supports the Director with strategic initiatives and special projects as needed, demonstrating flexibility and adaptability in addressing evolving priorities.
  • Escalates and works with Director and other applicable offices to adjudicate findings and oversees all phases of Adverse action required by the Federal Credit Reporting Agency, as well as state regulations associated with the applicant's current address.
  • Determines the types of checks to be performed for each job title, based upon policy and job responsibilities.
  • Performs essential duties during emergencies, such as hurricanes, storms and/or any other University emergency closing. The employee is expected to be available to report to work as needed with appropriate notification by department administrator.
Minimum Qualifications

  • Bachelor's degree in a related field and six (6) years of human resources experience to include professional recruitment.
Desired Qualifications

  • Experience in managing and troubleshooting fingerprinting and background check processes.
  • Experience in excel spreadsheet data manipulation (Vlookup and Pivot tables).
  • Experience with background check vendors, package definitions, and adjudication processes, including Adverse Actions required by FCRA.
  • Experience with administration of and updates to University policies and procedures directly or indirectly involving background checks.
