What You Will Do:

The Degree Operations Coordinator plays a vital role in enhancing student success through expert management of degree completion processes within the Office of the Registrar. This dynamic position combines technical expertise with student service, overseeing the comprehensive degree finalization workflow from initial application through completion. The role requires proficiency in both Banner and Degree Works systems to effectively manage student degree progress and completion. Core responsibilities include orchestrating the degree finalization timeline, managing student application data, processing analytical reports, and maintaining seamless communication about deadlines to all stakeholders. This position serves as a technical specialist while also providing essential front-line support through department communications channels, assisting both current students and alumni with their needs. Working directly with the Assistant Registrar, this role is instrumental in maintaining efficient departmental operations and contributing to a positive student experience through accurate degree processing and responsive service delivery.



Essential Responsibilities

    Coordinates and executes all aspects of the degree finalization process by reviewing and validating completion requests, ensuring accurate processing of degree conferrals in Banner, and maintaining precise student records throughout the workflow. Participates in process improvement initiatives to enhance efficiency and streamline operations for an optimal student experience. Ensures data integrity for all degree-related entries and updates within Banner, maintaining meticulous attention to detail throughout the verification process.
  • Supports the Assistant Registrar with academic record maintenance by processing and reviewing various academic reports, include: grade modifications (missing grades, X grades, incomplete grades, FX grades), course-related adjustments (duplicate courses, subsequent courses), academic standing reports, financial hold verification, and graduation documentation (completion statements, diploma processing, and distribution tracking). Ensures accuracy and timely completion of all report-related updates.
  • Delivers front-line customer service support for the Registrar's Office while maintaining efficient office operations through systematic processing of communications and records. Handles incoming and outgoing correspondence across multiple channels, including email, mail, and fax. Contributes to departmental organization by assisting with maintenance of both active and archived student records, ensuring proper filing and accessibility of degree documentation.
  • Maintains accurate and timely student records throughout the degree lifecycle, ensuring precision in degree finalization documentation, verification processes, and information updates. Provides support for official Registrar's Office communications and transcript services while adhering to confidentiality and compliance standards
  • Manages course registration functions for block codes.


Qualifications

  • Bachelor's degree from a regionally accredited institution is preferred.
  • 1-3 years of directly related experience, or an equivalent combination of education and experience.
  • Effective computer skills (Microsoft Office programs, Banner experience a plus)
  • Customer service skills.
  • Track record of performing essential tasks in an efficient and effective manner. Passion for making our students a priority by identifying their needs and responding to them effectively
  • Strong analytical skills with the ability to breakdown problems into its components and make assessments prior to selecting an approach. Takes a proactive approach to anticipating and solving problems that arise and works well with a team to resolve issues and concerns.
  • Ability to work independently but enjoys the essential aspects of a team that provides different perspectives.
  • Clerical/Technical Skills: Possesses the technical skills and knowledge required to perform essential tasks in an efficient and effective manner. Demonstrates the willingness and ability to train or coach others in the technical arena.
  • Organizing/Planning Skills: Develops the steps necessary to accomplish long-term goals. Identifies long and short-term goals and establishes realistic plans to reach them. Allocates required resources, allows for contingencies and ensures that plans fit with the larger needs of the organization. Sets milestones to measure progress along the way.
  • Decision Quality: Gathers enough information to allow a trustworthy assessment of risks and benefits of alternative approaches in any decision. Stays focused on objectives and considers both the short-term and longer-term impact of decisions and keeps objectives in mind throughout the process.
