Position Summary

The Center for Teaching and Learning (CTL) is a unified collective of many excellent initiatives that includes the Student Learning Assistance, Graduate Support, Teaching Support, and Digital Learning. Our department is committed to helping all UNM students-both undergraduate and graduate students-achieve success.

CTL is recruiting a detail-oriented and motivated administrative assistant to provide clerical and administrative support for all departments. The Admin Assistant I is responsible for the support of daily administrative activities in a dynamic service unit consisting of 30+ technical and administrative staff across three main operating units.

The selected individual will provide administrative support related to hiring, scheduling, outreach, record keeping, communication, events and serves as first-level support to ensure department administrative practices align with university, local, state, and federal regulations. We are looking for someone who has strong communication skills and can multi-task in a fast-paced environment with a high degree of professionalism and integrity. This is a full-time, benefits eligible position.

Duties and Responsibilities

* Perform a wide variety of assignments which may be confidential in nature and require research to complete; compose, edit, revise, communication via email; prepare tables, reports, and other materials.

* Greet and direct visitors, resolve routine administrative problems and answer inquiries concerning activities and operations of department/division; maintain log of inquiries as required.

* Collaborate with department faculty and staff, maintaining partner relationships across campus, and promoting CTL and its services to the UNM community

* Perform a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.

* Sort, screen, and distribute incoming and outgoing mail, drafts or prepare responses to routine inquiries, and operate a variety of office equipment.

* Establish, maintain, process, and update files, records, certificates, and/or other documents.

* Outreach support to include materials preparation, scheduling, and presentation.

* Order, stock, and distribute office supplies.

* Support event planning and support for all departmental events

* May instruct and oversee the activities of student employees performing the same type of work.

* Provide clerical support for all student and staff hiring

* May serve as Campus Security Authority as outlined by the Clery Act.

* Perform miscellaneous job-related duties as assigned.

This position is currently open to remote hybrid work. After a period of time, the new employee may be eligible for a hybrid remote work (telecommuting) arrangement under the discretion of their supervisor, business needs, and successful completion of training.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • If located at the UNM Children's Campus, successful candidate must pass a comprehensive post-offer, pre-employment criminal and New Mexico Children, Youth and Families Department (CYFD) fingerprint background check, and a continued successful status will be verified by periodic future background checks.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the CWA Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 1 year of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications

* Demonstrated independent problem-solving skills

* Demonstrated ability to maintain confidentiality and protect sensitive information

* Experience working in a higher education, diverse environment

* Prior experience with Adobe Creative Suite

* Prior experience working with Microsoft Office applications

* Experience with document processing and record-keeping
