Primary Duties and Responsibilities:
Create and coordinate the course/class schedule for all ABE/HSE and ELA department. Ensure all courses/classes meet the ICCB Adult Education and College of DuPage funding requirements. Correct implementation of the systems and processes directly correlates with funding sustainability.

  • Manage and maintain class schedules/sections/enrollment reports within Colleague and DAISI for Adult Education programs.
  • Responsible for completing course rollovers, additions and updates in compliance with Academic Scheduling.
  • Responsible for informing Faculty, office, and Centers of current course schedule including all updates and changes.
  • Work with Academic Scheduling to ensure proper room bookings for class, events, and at all regional centers.
  • Assists with scheduling interviews, reference checks for adjunct faculty as delegated by the Instructional Manager.
  • Manage distribution of grant required textbooks/materials to faculty and students (class set by term).
  • Manage department faculty communication/assignments, mailboxes, email contact list, and faculty directory.
  • Assist with new faculty orientations, ICCB required materials, and training for each new faculty member.
  • Update and maintain the COD online faculty website/portal with all related curriculum, syllabi, required documents, forms, working calendars, deadlines, etc.
  • Lead person for all faculty support and materials.
  • Other duties as assigned.


  • Qualifications:

    • Education
      • Associate's Degree required.
    • Experience
      • Three (3) years of experience in an educational office environment or similar required.
      • Excellent organizational, communication, computation, and interpersonal skills required.
      • Extensive telephone and excellent customer service skills required.
      • Must be detail oriented and able to analyze data and check for accuracy.
      • Higher education and/or grant experience preferred.
      • Experience in scheduling systems preferred.


    Working Conditions:

  • Computer, multi-line telephone, calculator, copier, various printers, electronic typewriter, and scanner.
  • Office environment.
  • This position requires a background check and drug screen.


  • Hiring Range:
    Classified 10 Hourly/22.00 - 23.00
