Overview

ExamWorks is looking for a Scheduling Coordinator Manager to join our team!

The Scheduling Coordinator Manager is responsible to oversee the day-to-day operational duties by coordinating, planning, training and directing the department to ensure the timely scheduling and processing of examinations in the most effective and efficient way possible. This position demonstrates outstanding direction and leadership, works as a liaison between all departments to ensure the smooth delivery of services and works closely with upper management in the development and implementation of organizational strategies, policies and procedures and strives to achieve the company's financial goals.

This is a Monday to Friday standard hours role.

The salary is between $80,000-$90,000.



Responsibilities

    Manage the department by ensuring all operations are handled timely with the highest level of quality and customer service and in the most effective and efficient manner possible.
  • Ensure the development, implementation and monitoring of all processes and procedures are executed as planned.
  • Handle any physician and/or client issues or complaints requiring management's involvement.
  • Ensure all client and examinee information is managed through IME Centric or office specific system databases.
  • Ensure all chart preparation is completed within the required timeframe and that any issues or service requests are addressed prior to the scheduled examination.
  • Communicate with physicians, clients and or examinees regarding any schedule changes, physician CV's, appointment changes, no shows, cancellations, and receipt of medical records and/or images.
  • Responsible to ensure all client invoice and/or issues related to billing is properly communicated with the accounting department.
  • Ensure the proper resources for ancillary services such as interpretation, chaperones, transportation, and or exam site rentals are available for schedulers and handles any issues with required services.
  • Delegate work as needed and provide backup as required.
  • Determine areas requiring improvement and develop and implement solutions and strategies to ensure maximum quality and efficiency is achieved.
  • Communicates pertinent information regarding the status of the department to upper management and/or to all appropriate individuals within the company.
  • Work closely with upper management to aid in the development of new processes or services.
  • Promote effective and efficient utilization of all company resources and make necessary adjustments and/or recommendations to upper management in order to meet all budgetary demands.
  • Provide insight and direction on the management on physician quality, availability and compliance with all company policies and procedures.
  • Ensure all unit policies and procedures are adhered to at all times.
  • Ensure that all organization activities and operations are carried out in compliance with local, state, and federal regulations and laws governing business operations.
  • Participate in various educational and or training activities as required.
  • Perform miscellaneous duties as assigned by upper management.


Qualifications

Education and/or Experience

  • High school diploma or equivalent required.
  • A minimum of five years related experience; or equivalent combination of training and experience.
  • Prior managerial experience required, experience in a medical office preferred.

QUALIFICATIONS

  • Paralegal experience is required
  • Must possess managerial experience and proven leadership skills.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Ability to follow instructions and adhere to upper managements' directions accurately.
  • Must be knowledgeable in multiple software programs, including, but not limited to, Microsoft Word, Outlook, Excel, and the Internet.
  • Demonstrate accuracy and thoroughness. Look for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Ability to analyze problems involving multiple interrelated causes. Where necessary, gathers information and applies complex concepts or methods to generate an effective solution.
  • Must be able to take independent actions and calculated risks when needed.
  • Must use good judgment and includes the appropriate people in the decision-making process.
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team -oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
  • Ability to read, analyze and interpret common and complex correspondence, medical or financial records, and/or legal contracts and documents.
  • Ability to write clearly and informatively to all required audiences and edit own work for appropriate spelling and grammar.
  • Ability to respond appropriately and professionally to all inquiries or complaints from customers, regulatory agencies, upper management, and/or members of the business community.
  • Ability to effectively present information one-on-one, in small to large groups, to top management, and/or clients or vendors of the company.
