The Ambassador role is a crucial position, serving as the initial point of contact for both employees and the public. This role also requires you to have mail room experience. As the Ambassador you will be a brand liaison and should focus on positively impacting guests and employees through your enthusiasm and ability to provide successful solutions and outcomes. You will need to be knowledgeable about the building and business processes, capable of welcoming guests/customers and assisting with requests and achieving a high level of service delivery with client and providers. A successful individual in this role has strong organizational skills, looks for opportunities to support site needs, and exudes professionalism. This position is responsible for delivering as described in the Service Level Agreements (SLAs) and will be measured by the Key Performance Indicators (KPIs) at the assigned facility. Your day to day: Main Roles and Responsibilities: Focus on all incoming Guests, Visitors and Employees with an outstanding professional, interpersonal, and hospitable greeting. Drive successful hospitality engagements by answering inquiries / requests about the local market, sites, business, amenities, and or operations through their strong knowledge base. Assist visitors with contacting their host/hostesses while adhering to building / floor specific security access processes and policies. Issue temporary badge access to visitors and maintain records of guest visits in the visitors' log. Assist employees with conference room reservations and arrange conference rooms according to meeting needs as requested. Coordinate catering requests, deliveries, and replenishment of snacks for the breakroom with local vendors as needed. Answer incoming calls and transfer as necessary. In collaboration with Executive Assistant(s), coordinate vendors and building maintenance. Perform various administrative projects as requested, including but not limited to preparing mailings and packages, data entry, receiving / distributing mail faces and emails, and other related office support duties. Maintain the front desk and lobby areas in a neat and organized manner, in compliance with all JLL and Client expectations (SLAs and KPIs). Be a site safety champion for HSSE requirements. Quality of service nd hospitality is a constant must have. Acting as a brand ambassador for the client workplace, always using appropriate etiquette and professionalism. Assist new hires on New Hire Orientation days by making sure that their host/hostess has been contacted. This may require escorting the new hires to a designated conference room or meeting area. Arrange for local taxi service and courier pickups as requested. Performs all other assigned duties and ad hoc tasks as needed. Sound like you? To apply you need: Demonstrated proficiency with all applicable software packages, including, but not limited to: MS Windows and MS Office, including MS Word, Excel, Outlook, PowerPoint, and Teams, Google Maps, Sheets, Docs, and Slides Must be very team oriented with the ability to work closely with vendor partners, client and JLL staff, and facility visitors. Ability to communicate effectively with employees and visitors as necessary and provide superior customer service. Ability to collect data, keep accurate records, and prepare reports, as necessary. Ability to organize and prioritize multiple tasks. Must be detail oriented. Must be able to work well independently with an ability to work collaboratively with others. Must be flexible and able to adapt to schedule changes and overtime requests. Ability to meet and work well with all levels of employees, guests, coworkers, and vendor partners. |
