Job Description

Raymond West is looking for a dynamic Fleet Manager to continue the management and growth of our vehicle fleet across the Raymond West branches. The Raymond West Fleet, Facilities, & Procurement group manages a 950+ Vehicle Fleet, all Raymond West facilities, as well as ongoing procurement of goods and services for all Raymond West companies. We are seeking a Fleet Manager to continue the management and growth of our vehicle fleet across the Raymond West branches.

Duties and Responsibilities:

Primary duties and responsibilities will vary with the specific position. Typical and responsibilities are listed below. This list is not inclusive.



  • Manage Fleet staff, including Shop Mechanic operations and office personnel
  • Responsible for planning and assigning projects/tasks to staff, making hiring, separation, and disciplinary recommendations, and conducting performance evaluations.
  • Ensure staff development and coordinate training programs for new staff and identify training needs for current staff.
  • Manage employee's timecards utilizing the company's Time and Attendance system.
  • Manage the operational activities within the Fleet Department
  • Develop, organize, implement, and oversee programs, policies, and procedures.
  • Ensure achievement of Fleet Department goals
  • Provide Fleet staff guidance and direction on department issues that impact overall service and performance.
  • Provide input to senior leadership for annual budgets.
  • Direct and prepare reports for the Director of Fleet, Facilities, & Procurement, and other department managers as needed.
  • Participate in Company or Department projects.
  • Ensure employees and team are following all Company Policies
  • Works closely with other departments and communicates with all levels of employees, customers, and Fleet Vendors both verbally and in writing.
  • Demonstrates drive and initiative.
  • Maintains a professional attitude in all matters.
  • Correspond with Vendors and respond to inquiries promptly.
  • Maintain accurate records and files including, but not limited to:


    • Vehicle Assignments
    • Maintenance Records
    • Title/License/Registration/DOT Filings
    • Purchase/Lease Documentation.
    • Fuel Cards and Fuel PIN assignments
    • GPS Assignments
    • Insurance Claims
    • Fleet Vendors & Contracts



  • Analyze vehicle requirements to fill the needs of all departments.
  • Manage company Vehicle GPS Program
  • Manage driver safety compliance reports and partner with EHS on programs to improve driver safety.
  • Manage and track all vehicle insurance claims to completion.
  • Responsible for Managing shop inventory.
  • Manage Company fuel card Program, which includes administering fuel cards for all company vehicles and eligible drivers.
  • Manage vehicle reimbursement program, this includes employees who drive personal vehicles for work and ensure compliance per IRS guidelines.
  • Manage Raymond West vehicle Compliance which includes ensuring all company vehicles have up-to-date registration, titling, and licensing.
  • Provide support and manage vehicle compliance as it relates to US DOT laws and regulations.
  • Standardize vehicles for all companies that fall under the Raymond West umbrella.
  • Purchase/Lease & track maintenance for all fleet vehicles.
  • Develop/Manage policies and procedures to efficiently manage the fleet & improve driver/operator efficiency.
  • Develop strategies for greater fuel efficiency.
  • Develop and implement operational standards to maintain vehicles by advocating best practices in the industry.
  • Partner with suppliers and resolve disputes.
  • Continually increase knowledge and utilize all fleet information/surveys to forecast new vehicle requirements.
  • Provide budget cycle requirements and control the budgeting process.
  • Maintain strict confidentiality regarding business-related items and conversations.
  • Creates and maintains comprehensive and accurate documentation of all completed and pending projects.
  • Coordinate internal resources, third parties/vendors, and client resources for accurate and timely execution of projects.
  • Assists the Director of Fleet, Facilities, & Procurement in ensuring all projects are delivered on time, within scope, and budget.
  • Successfully acts as a liaison to support the relationship between vendors and all company employees.
  • Schedules appointments, provides information to callers and composes Fleet Department correspondence.
  • Responsible for reviewing and routing Fleet mail across the company as well as performing other administrative/clerical duties.
  • Report and escalate issues to management as needed.
  • Performs other duties as assigned.


Required Skills/Abilities:



  • Excellent written and verbal communication skills
  • Excellent Organizational Time Management skills to manage time efficiently.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint, etc.) and related business software.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Must be able to maintain effective working relationships with employees, Co-workers, and Managers in other departments
  • Must be willing to work off-hours as specific needs dictate and willing to assume more responsibility as required
  • Detail-oriented with the ability to multi-task.
  • Present a mature, professional appearance and behavior in all situations.
  • Maintain a professional attitude in all matters.
  • Willing and able to learn quickly and perform the job accurately and neatly with a degree of flexibility.
  • Motivated to continuous self-development and training.

Education/Experience:

Minimum Education and Experience: Determined by position



  • High School Diploma required
  • College degree preferred.
  • Prior automotive and/or mechanical experience/familiarity is required.
  • At least 5 years of Management experience is required.


Travel Requirement:



  • Travel will be required and will vary based on business needs such as vehicle transfers between branches, vendor/supplier visits, off-site meetings, and Raymond West branch visits for fleet needs.
  • Must be able to be insured by Raymond West.

Pay Range:



  • The salary range for this position is $90,000 - $110,000 (DOE) plus bonus. The specific pay offered to a candidate may be influenced by a variety of factors including but not limited to the candidate's relevant experience, education, and work location.


Qualified candidates must be able to pass a pre-employment physical and drug screen.
