Position Highlights

The Center for Toxicology in the R. Ken Coit College of Pharmacy seeks a qualified Grant and Contract Coordinator III. The selected candidate supports a busy research program with coordinating events and meetings, gathering data, processing transactions, reconciling accounts, and monitoring budgets.

Duties & Responsibilities
  • Gather data including financial, student information, publications, and grant funding. Create or update tables to display data for grant progress reports and grant applications. Requires Excel skills including graphs, charts, and pivot tables. Data is gathered from a variety of sources, may include researching websites, communication with faculty or other departments, and running/analyzing financial reports.
  • Prepares grant proposals in accordance with the sponsor's policies and applicable regulations.
  • Gathers data on training grant eligibility and applications, membership affiliations, publications, and grant funding resulting from pilot awards.
  • Designs surveys to capture data for inclusion in progress reports. Creates templates and tables as needed to display data RPPRs and competitive applications.
  • Reconciles grant activity for multiple complex grants including reviewing grant documents, ensuring spending follows grant guidelines, ensuring grant projects remain within budget, managing spending plans, and communicating results to the Director.
  • Interprets funding regulations and guidelines for spending, understanding the order of precedence of the applicable laws and policies.
  • Ensures compliance with Uniform Guidance, sponsor terms, and University policies/procedures.
  • Manages pilot and user fee award administration. Navigates multiple databases, using data analysis skills to compile monthly and ad hoc financial reporting for center leadership and awardee
  • Assist with entering external awards to graduate students and Postdoctoral Research Associates funded by the department's training grant. Includes calculating the tuition and stipend payments, uploading and reconciling the training grant spreadsheet and ensuring entries follow grant guidelines
  • Alerts T32 trainees regarding upcoming deadlines for registration, updates to student employment, etc., and liaises with graduate program leadership about deadlines and internal funding sources
  • Purchase supplies and services using requisitions, disbursement requests, and credit card (Pcard) according to university regulations, ensuring proper back-up documentation is provided for each transaction
  • Assist with setting up meetings and making travel arrangements for multiple faculty/employees
  • Process travel payments according to university policy. Schedule rooms and/or set up zoom meetings
  • Prepare and distribute agendas and take minutes as needed
  • Assist with overseeing student workers and training as needed

Knowledge, Skills, and Abilities:

  • Ability to be creative, innovative, and strategize
  • Detail- and compliance-orientation skills
  • Advanced proficiency in communications, including writing and editing technical materials and visual design
  • Skills in relationship-building and communicating with a variety of stakeholders
  • Advanced skills in Microsoft 365
  • General knowledge in the Research Administration industry:
  • Knowledge of Cost Principles laid out in the Code of Federal Regulations' Uniform Guidance (2 CFR 200 UNIFORM ADMINISTRATIVE REQUIREMENTS, COST PRINCIPLES, AND AUDIT REQUIREMENTS FOR FEDERAL AWARDS)
  • Familiarity with sponsor terms and conditions including those in the NIH Grants Policy Statement (NIH GPS) and the NSF Proposal & Award Policies & Procedures Guide (PAPPG)
  • Familiarity with the State of Arizona Accounting Manual (SAAM) and applicable policies
  • Familiarity with compliance frameworks including human subjects research, financial conflict of interest, conflict of commitment, animal care and use, biosafety, human embryonic stem cell research, export controls, and publications
Minimum Qualifications
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
  • High school diploma or high school diploma equivalency is required.
Preferred Qualifications
  • Experience in sponsor portals (eRA Commons, xTRACT, xTrain) preferred.
  • Experience in data analysis, including merging and analyzing data using Excel's Business Intelligence tools (Power Query, Data Model, DAX, and Power Pivot)
  • Experience with university structure and systems including UAccess Analytics, Financials, Research, Student, and Manager Self-Service
