Responsibilities

The Pavilion Behavioral Health System currently has a part-time Switchboard Operator position available. This position will work every Monday and Thursday (3:00pm - 10:00pm) and every other Saturday and Sunday (3:00pm - 10:00pm).

The Pavilion Behavioral Health System is a 106-bed psychiatric hospital located in Champaign, Illinois. We offer inpatient psychiatric services to youth and adults as well as a voluntary drug and alcohol addiction recovery program for adults and a residential treatment center to youth ages 10-19.

Qualifications

POSITION SUMMARY:

Manage and facilitate the facilities' incoming telephone calls and transfer calls effectively. Project and maintain a professional image to callers, as well as visitors, staff, and patients entering the building. Process intake paperwork & inquiries utilizing established policies. Type and copy various facility materials.

QUALIFICATIONS:

Education: High School diploma or equivalent required.

Experience: One year experience as receptionist/administrative assistant or position relevant to customer service preferred.

Other knowledge/skills: Excellent written and verbal communication skills. Use of office equipment, i.e., computer, copy machine, fax, telephone. Ability to work with customers in a fast-paced environment with multiple tasks required.

ESSENTIAL FUNCTIONS:

  1. Answer all incoming telephone calls in a pleasant, professional manner.
  2. Transfer calls efficiently and effectively.
  3. Communicate with visitors, staff, vendors and patients in a professional courteous manner at all times. Answer questions related to the facility in a helpful manner.
  4. Record all messages accurately and neatly.
  5. Assist inquiries/patients with appropriate admission paperwork. Notify assessment of the completion of paperwork.
  6. Ensure all visitors follow the proper sign in procedure.
  7. Receive patient's belongings-log and tag items ensuring they get to the proper unit.
  8. Monitor the lobby frequently so patients/visitors are taken care of promptly.
  9. Maintain work area in a neat, clean and orderly manner.
  10. Work with staffing coordinator to ensure vehicle log is maintained, vehicles are signed out and in appropriately by all staff.
  11. Coordinate sign in/sign out of IPASS and Pavilion Gas credit cards.
  12. Coordinate mailing and monitor postage stock, mail correspondence. Add postage to meter as needed.
  13. Attend department meetings and training sessions.
  14. Run the lunchbox system for employee meals.
  15. Run and distribute Midas reports as needed.
  16. Ensure all assessment calls are answered promptly, this includes following the process for weekend.

NON-ESSENTIAL FUNCTIONS:

  1. Sort and disperse all incoming mail efficiently.
  2. Type and copy various materials.
  3. Maintain patient confidentiality at all times.
  4. Projects a positive image of The Pavilion by being courteous, helpful, friendly, and professional in relationships with patients, visitors and co-workers.
  5. Assures compliance with federal, state, and organizational confidentiality regulations.
  6. Maintains OSHA inservice requirement.
  7. Performs other duties as assigned.
