The Position

What You'll Do

Business Process Improvement

  • Collaborate with HR, Payroll, and Finance teams to gather and analyze requirements.
  • Design and implement IT solutions that streamline and optimize business processes.
  • Conduct thorough process analysis and recommend enhancements for efficiency and automation.

Project Coordination

  • Lead IT projects, ensuring they align with business goals and are delivered on time and within budget.
  • Facilitate workshops and discussions to align technical teams with business stakeholders.
  • Develop project plans and provide status updates to key stakeholders.

System Support

  • Administer and support enterprise systems, troubleshooting issues and ensuring smooth operation.
  • Troubleshoot business process issues bridging the gap between the business and technology teams.
  • Act as a technology expert, guiding HR, Payroll, and Finance teams in leveraging IT tools effectively.
  • Stay updated on industry trends to forecast and address future technology needs

This is a hybrid position, requiring 3 days in the office and 2 days working remotely to foster collaboration. T hese 3 core days (Tuesday-Thursday) of in-office work are firm and non-negotiable due to the need to support our 24/7 operations effectively.

Essential Job Duties

Business Analysis/Business Process Improvement:

* Engage with business stakeholders to gather and document requirements, ensuring a clear understanding of business needs and objectives.
* Analyze and translate business requirements into functional specifications.
* Collaborate with technical teams to ensure effective design and implementation of solutions that meet business needs.
* Conduct thorough business process analysis and recommend improvements or optimizations.
* Define and document user stories, use cases, and acceptance criteria for IT projects.
* Assist in testing and quality assurance activities, validating that solutions meet specified requirements.
* Facilitate workshops, interviews, and discussions to elicit and clarify requirements

Project Coordination:
* Lead IT project coordination efforts for assigned areas including engaging with stakeholders.
* Define solution goals, objectives, and success criteria.
* Lead or participate the planning, execution, and monitoring of IT technical solutions and projects, ensuring adherence to scope, timeline, budget, and IT and Port portfolio and project management processes.
* Collaborate with cross-functional teams to define project objectives, scope, and deliverables.
* Develop and maintain comprehensive project plans, including tasks, milestones, dependencies, and resource allocation.
* Proactively identify potential risks and issues and develop mitigation and contingency plans.
* Coordinate and facilitate project meetings, ensuring clear communication and alignment among all stakeholders.
* Provide regular project status updates and reports to senior management and key stakeholders.
* Act as a liaison between business stakeholders and technical teams, fostering strong communication and collaboration.
* Build and maintain positive relationships with internal and external partners to ensure successful project outcomes.
* Present complex technical concepts in an understandable manner to non-technical stakeholders.
* Provide guidance and mentorship to junior team members when necessary

System Support:
* Administer functions within assigned technology systems and assist with application support, diagnosing reported issues, and analyzing system functionality and capabilities.
* Research across IT teams, vendor resources, and networking with a broad user community.
* Ensures the successful delivery of reliable services through the coordination of staff and technology resources.
* Serve as an expert on technology system use and related processes.
* Perform enterprise system/application troubleshooting and support functions including diagnosing and resolving reported issues.
* Administer, configure, and support enterprise-class systems/applications

Process Improvement:
* Stay current with Port processes, industry trends, best practices, and emerging technologies related to assigned technology systems, project management and business analysis practices.
* Identify opportunities for process improvement, automation, and business process efficiency within the assigned technology systems.
* Contribute to the development and implementation of standardized methodologies, templates, and tools.
* Provide technology expertise and assist the business in forecasting and anticipating future needs.
* Provide direction for system and process changes and understand impacts and feasibility

Minimum Qualifications

Education:

  • Bachelor's degree in Information Technology, Business, Computer Science, Business Administrative or a related field
  • OR equivalent combination of education and relevant experience.
  • Master's degree preferred.
Experience:
  • At least 6 (six) years of proven experience as an IT Project Manager, System Analyst, Business Analyst, System Administrator, Business Process Analyst
Licenses and Certifications:
  • PMP, PMI-PBA, CBAP, or related credentials preferred.
  • Candidates may be required to successfully pass and maintain security clearance relevant to assigned duties, such as SIDA (Security Identification Display Area), TWIC (Transportation Worker Identification Credential), and CJIS (Criminal Justice Information Systems).
Knowledge:
  • Project management processes and methodologies.
  • Understanding of software and solution development lifecycle.
  • Project management and business analysis tools (e.g., JIRA, Confluence, Microsoft Project, Visio.)
  • Analytical and problem-solving abilities, with a keen attention to detail
Skill:
  • Provide outstanding customer support by meeting and exceeding customer expectations; ensure team members understand their impact on customer satisfaction.
  • Collaboration and consensus building in both a project lead and project support role.
  • Articulate concepts and influence process improvements.
  • Communication and interpersonal skills, with the ability to interact effectively with both technical and non-technical stakeholders.
  • Deliver IT projects on time and within budget

Selection Process & Projected Timeline (dates subject to change):

  1. Minimum Qualification Evaluation: During the week of January 1, 2025, Human Resources and the Hiring Manager will evaluate the education, training, and experience outlined in submitted application packets.
  2. Subject Matter Expert (SME) Evaluation: A panel of internal Subject Matter Experts will assess your experience and training based on your application materials and responses to the supplemental questionnaire.
  3. Interview Scheduling: Our goal is to schedule first-round interviews with candidates who successfully pass the SME evaluation during the week of January, 27. The first round will typically involve the recruiter and the hiring manager. Second-round panel interviews are planned for the week of February, 3rd and will include the hiring manager, the recruiter, and other internal stakeholders.
Compensation:
Our organization adheres to established salary ranges for each position to ensure equitable pay practices. However, final offers are determined based on various factors, including the candidate's experience, qualifications, and considerations of internal pay equity.
