JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University,Office of Ethics and Compliance(OEC) is seeking a detailed oriented and energetic Administrative Assistant to provide excellent operational and administrativesupport to a dynamic team. This position will plan, organize, support, and coordinate daily office activities and administrative processes within the OEC. The teams include Title IX: Sexual Harassment and Sexual Misconduct, Youth Program Compliance, Athletics Compliance, Athletics Integrity, Privacy, University Ethics, and Investigations. This position will report to and primarily support the Chief Ethics and Compliance Officer.

This position will perform a variety of duties, to include, but may not be limited to:

  • Scheduling, coordinating, and maintenance of calendar appointments, meetings, and travel itineraries, including reimbursement processing
  • Scheduling of conference rooms and assisting in organizing special events
  • Gathering of information to prepare reports and create PowerPoint presentations/meeting materials
  • Data entry and maintenance of files and databases, including maintenance of the OEC website
  • Open, sort and distribute correspondence, including electronic communications, while ensuring the confidentiality of sensitive information
  • Ordering and maintaining the inventory of office supplies and equipment
  • Scheduling service maintenance of office equipment
  • Providing administrative support for creating and processing financial transactions/forms in SIMBA (System for Integrated Management, Budgeting, and Accounting) and scheduling meals for special events
  • Assisting in resolving inquiries and ensure compliance with work unit and/or University policies and procedures.

Education and experience:

This position will be filled at the Senior Supportlevel and minimally requires an Associate's degree plus 4 years of relevant experience, or an equivalent combination of education and experience. The successful candidate must be self-motivated, work well both independently and in a team setting, and have exceptional organizational, prioritization, and customer service skills. Excellent interpersonal and communications skills are required. This job requires strong attention to detail, discretion and confidentiality, sound judgment, and decision-making abilities. Proficiency with Microsoft Office, including Word, Outlook, PowerPoint, and Excel are required. University management systems knowledge includingSIMBA, SAP Concur, and Lion Marketplace are preferred.

This position requires the following clearances: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
