JOB SUMMARY
The HR Services Team focuses on opportunities for improvement related to systems, processes, procedures, and data; taking a proactive approach versus reactive. The HR Coordinator is responsible for providing excellent service to colleagues and customers, and responsible for timely transactional processes which may include, but are not limited to data management updates, onboarding processes, initiating background checks, records and retention, and tuition reimbursement processing. This position will coordinate, maintain, and provide data entry of various Human Resources transactions. The HR Coordinator may provide back-up support to various positions/areas within HR Services, on an as needed basis.

This position falls under a hybrid work schedule that includes on-site work once per week and as needed.

Human Resources and onboarding experience, along with Taleo and PeopleSoft experience is strongly preferred

EXPERIENCE AND EDUCATION
Required



  • Education
    Bachelor's Degree


  • Experience
    No experience required.
    May consider relevant years of experience in lieu of education (minimum of four (4) years of related experience with no degree).


Preferred



  • Experience
    Human Resources, customer service, data entry or related experience.
    Experience working with multiple ATS, CRM and HRM systems - specifically Taleo and PeopleSoft products.


JOB DUTIES



  • Provides responses to inquiries from new hires, employees and/or external customers in areas such as: data entry or transactions inquiries/requests, tuition reimbursement inquiries, employee onboarding and processing, records management, or general customer service.
  • Receive, triage, route or answer customer HR inquiries in a timely manner and provide multiple. Provide information and resources for customer inquiries as needed, educate customers how to access and utilize online resources for future inquiries.
  • May provide support to monitoring or assistance with pending HR requests to ensure prompt resolution. Follow-up with outstanding inquiries in order of issue age and urgency. Provide research and other information needed to close out the inquiry.
  • Identify and recommend changes to existing methods and systems to increase the accuracy, efficiency, and responsiveness of response center.
  • Processes, reviews, and/or audits various human capital management (HCM) employee transactions.
  • Delivers excellent customer service for all preboarding activities; provides status updates to Talent Acquisition Partners and hiring managers. Completes new hire transactions in applicant tracking system accurately and in a timely manner; initiates pre-employment tasks, such as background check process. Partners closely with Occupational Health team for status updates for required appointments.
  • Provides new employee orientation information to new hire, answering questions and providing guidance in preparation for first day.
  • Confirms details in applicant tracking system are accurate before new hire processing; responsible to complete HCM new hire transactions, if needed.
  • Processes employee requests such as: verifying prior state service, verification of employment and public service loan forgiveness forms.
  • Prepares departmental files for review to respond to employee requests, performance appraisal requests, and/or Legal requests (Subpoenas or TPIA requests); adheres to institutional records and retention policies.
  • Prepares employee files for regulatory review and audits; ensuring appropriate documentation is collected to create and maintain new employee files for staff employees.
  • Reviews and processes employee tuition applications for departmental approval; communicates with employee on tuition reimbursement inquiries.
  • Completes and initiates all tuition reimbursements for processing; ensures all necessary documentation is obtained to initiate tuition reimbursement and adhere to tuition policy.
  • Efficiently prioritizes workload to ensure all tasks are accomplished in a timely manner.
  • Adhere to all HR Services' standard operating procedures.
  • Provides back-up support for HR Services Support team, as needed.
  • Performs other duties as assigned.
