The purpose of this position is to provide coordination and support for the Internal Medicine Residency Program with a primary emphasis on supporting the evaluation components of the program.

Examples of Duties
-
A. Residency Administration 100% Evaluation Program: Establish and maintain the evaluation and personnel database and tracking program "New Innovations" for the residency program according to the ACGME (Accreditation Council for Graduate Medical Education) and the ABIM (American Board of Internal Medicine). This information is extremely confidential and must be kept on all past and present residents: a) Create and schedule evaluation "matches" covering each rotation and all evaluations (faculty evaluate residents, residents evaluate their rotations and the rotation faculty, and residents evaluate each other). b) Enter master residency schedule into New Innovations and monitor it for changes. c) Review evaluations to ensure they are returned in a timely manner, properly completed, and alert Program Director to evaluations that raise concerns regarding resident performance. d) Manage resident Duty Hours; monitor duty hours for compliance with ACGME requirements. Notify residents as semi-monthly deadlines approach and assist in correcting any errors and conflicts. e) Maintain conference attendance records and interpret rules to determine when resident is excused from attending. f) Document resident scholarly activity. g) Maintain records of vacation, educational leave and sick time usage for the residents. h) Maintain the demographic information on each resident with information required by the hospitals (medical school information, test scores, visa information, contract dates, medical license and certification information, social security numbers, current home mailing addresses for current and graduated residents, etc.). i) Set up new residents and faculty in the program and provide training to new users. j) Create, manage and print reports as needed. Coordinate tri-annual feedback sessions with Program Director/Mentor and residents. Compile data from New Innovations and ResHub into reports for feedback sessions documenting resident performance and compliance in completing evaluations, attendance at conferences, etc. Coordinate semi-annual faculty review of resident performance and their evaluation record to comply with ACGME requirements of "Milestones" data. Enter monthly call schedule for the ICU into Halo as required by the SIU Call Center. Maintain schedules as changes occur. Assistant Proctor for the annual In-Training Exam. Complete verification of training forms on past and present residents requesting hospital privileges as well as practice opportunities Other Administrative Duties: Liaison with departmental Marketing Associate to ensure residency program maintains a robust and accurate website and social media presence. Manage resident continuity clinic patient panels as they transition from graduating resident to incoming intern. Assist with recruitment season activities, i.e., alternate host for virtual and/or in-person interviews, development and maintenance of program recruitment materials, and logging faculty interview comments of resident applicants into ERAS (Electronic Residency Application Service). Assist with planning annual graduation, retreats, and episodic program social events. Assist with coordination of the annual orientation for all incoming residents. Advise Program Coordinator, Chief Resident, and Program Director, and assist in responding to, and resolving residency issues and program administrative issues. Attend weekly Residency Staff meetings and monthly Clinical Competency Committee meetings. Participate in mentoring and training other residency program staff members, especially with regard to New Innovations. Participate in the department education staff meetings as requested. Other duties as assigned.

Qualifications

- High school diploma or equivalent.
- Any one or combination totaling four (4) years (48 months), from the categories below:
- College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
- Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.
