Overview

Responsible for non-clinical aspects of the Adult Medicine Residency Program. Coordinates and performs clerical and scheduling duties to ensure coordinated and efficient day to day functioning of the clinic. Assists with training and/or delegating of tasks when appropriate to accomplish these goals. Functions as a PSR when needed. Conveys a positive image of Carle and provides exceptional assistance to all support staff, nursing, physicians, mid-levels, and patients.

Responsibilities

Demonstrates competency in aspects of the Patient Services Representative role.
Remains competent in the PSR job description by attending ongoing education courses and functioning as a PSR when needed.
Provides input on decisions regarding the AMR practices, policies, procedures, and assists with annual updating of all materials/Sharepoint site and AMR Carle Web page.
Serves as liaison between AMR and GME staff, with marketing and other external departments as delegated.
Coordinates educational activities for all Providers and staff.
Ensures appropriate billing and scheduling for all providers in AMR.
Coordinates provider/staff on boarding: assists with creation of orientation schedules, educates on non-clinical processes and scheduling blocks.
Coordinates with GME educational needs for residents and special functions for AMR.
Establishes daily work and desk assignments to ensure adequate staffing coverage.
Establishes standards for reducing registration and scheduling errors. Reviews with staff on a regular basis errors and initiates necessary training to reduce errors.
As part of the Adult Medicine Residency leadership team, makes recommendations to Supervisor/Manager regarding clinical workflows.
Participates on committees and subcommittees including departmental work groups, cross departmental teams, etc.
Serves as a systems super user.
Coordinates vendor visits/education with Pt. Care Manager.
Provides input and collaboration on departmental processes and policies.
Screens calls according to departmental procedures.
Schedules and maintains the Residency schedules.
Proactively Contacts and communicates with providers regarding schedule changes.
Proactively monitors schedules to ensure appropriate scheduling of all providers and non-clinical staff.
Performs clerical duties including but not limited to: Office supply ordering and organization, adhering to budget; creating meeting agendas, meeting minutes and distributing appropriately; scheduling meetings for team as delegated; downtime duties, updating phone list as needed, Faxing/Copying/Scanning
Ensures that Resident and all Provider charges are up to date: audits resident work list to ensure residents are in compliance with organizational policies, sends patient correspondence, monitors and activates no show policy, works in collaboration with Patient Care Manager, Nursing Supervisor, Physician Leadership, & Chief Residents.
Attends mandatory meetings as requested by Patient Care Manager, Clinic Physician leader, Residency Director or GME leadership to keep abreast of change, safety requirements and new policies when available.
Attends elective meetings to enhance personal and professional knowledge.
Performs additional responsibilities as assigned.

Compensation and Benefits

The compensation range for this position is $18.97per hour - $30.73per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, location, training, licenses, shifts worked and compensation model.
