Are you a highly organized and proactive professional with experience in an academic healthcare setting? The School of Medicine Dean's Office is seeking a Senior Executive Assistant to provide top-tier administrative support to the Executive Vice Dean. This is a unique opportunity to play a critical role in supporting leadership within a dynamic and mission-driven environment dedicated to medical education, research, and healthcare excellence.

Key Responsibilities:

Strategic Calendar & Event Management
* Expertly coordinate complex calendars, meetings, and high-profile events, ensuring seamless scheduling and appropriate attendee participation.
* Oversee logistical details, including meeting facilities, technology, and catering arrangements.

Executive Support & Communication
* Serve as a trusted liaison between the Executive Vice Dean and key stakeholders across the University, MUHC, Advancement, Public Relations, and Faculty Affairs.
* Manage and prioritize correspondence, screening inquiries and determining appropriate access.
* Provide professional front-line communication on behalf of the Executive Vice Dean.

Research, Reporting & Document Preparation
* Compile and analyze data for reports, presentations, and strategic decision-making.
* Prepare polished materials, including briefings, executive summaries, and meeting documents.

Travel & Credentialing Coordination
* Arrange complex travel itineraries, process reimbursements, and track Continuing Medical Education (CME) credits.
* Maintain up-to-date records, including the Vice Dean's CV and bio sketch.

Meeting Oversight & Documentation
* Coordinate and attend high-level meetings, capturing key takeaways through concise and accurate minutes.

Shift

Shift Type: Monday - Friday, 8:00 a.m. to 5:00 p.m.
Office/Administrative Hours: Yes - Position will have Office/Admin Hours
Flexibility for Alternative Schedules: No

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

Additional Training
* Proven experience as an executive assistant or in a similar administrative role.
* Exceptional organizational and multitasking skills.
* Strong written and verbal communication abilities.
* High degree of professionalism, discretion, and confidentiality.
* Proficiency in Microsoft Office Suite and other relevant software.

Anticipated Hiring Range

Hiring Range: $51,875 - $73,008
Grade: GGS-010
