Purpose

The Academic Program Coordinator supports the Associate Dean for Academic Affairs in implementing the strategic goals and objectives of the School of Architecture's academic programs . This position collaborates with academic Program Directors, School of Architecture faculty, the Senior Academic Program Coordinator within the Academic Affairs team, and university representatives to align daily operations with short- and long-term goals while fostering an organizational culture that is innovative, fast-paced, and agile.

Responsibilities: Program Support
  • Works closely with the Associate Dean to provide administrative support for programs under the Associate Dean portfolio.
  • Addresses Academic Affairs operational needs as directed by the Associate Dean and executed in collaboration with the SOA Student Affairs, SOA Business Office, SOA Technology Resources and Innovation Group, and the Dean's Office team.
  • Provides budget information regarding program activities with assistance from the school's finance team.
  • Maintains program websites, ensuring content is current and accurate.
  • Facilitates the collection and organization of student work for publication, awards, exhibition, and accreditation purposes.
  • Collects and uploads syllabi to the university syllabus system in compliance with university policy.
  • Serves as the textbook coordinator and primary point of contact for the School of Architecture.
  • Supports faculty in the tracking and submission of flag proposals.
TA Appointments
  • Manages the School of Architecture Teaching Assistant hiring process, including soliciting applications, compiling selection decisions for presentation to School of Architecture administrators, and issuing and tracking offer letters in DocuSign.
  • Processes Teaching Assistant appointments in Workday.
  • Proactively resolves incidental issues that arise during the Teaching Assistant hiring process in coordination with SOA Business Office, SOA Graduate Office, and the UT Graduate School.
Final Reviews
  • Oversees all aspects of studio final review events, including schedule, juror honoraria and accommodations, and catering, under the direction of the Associate Dean, and in collaboration with the SOA Business Office.
  • Serves as the primary point of contact for invited jurors.
  • Works proactively with the SOA Business Office to coordinate arrangements for on invited jurors.
  • Manages final review budgets.
  • Submits required paperwork for reimbursements or payments.
Studio Lotteries
  • Manages all details of the studio lottery process under the direction of the Associate Dean.
  • Compiles and monitors projected studio enrollments, providing updates to the Associate Dean.
  • Collects and formats studio syllabi and studio lottery schedules.
  • Resolves incidental issues that arise throughout the studio lottery process.
  • Supports the studio space allocation process.
Marginal/Incidental Functions
  • Manages room reservations for all events within the Academic Affairs' portfolio, including but not limited to, courses, studio lottery, final studio/portfolio reviews, and events hosted by the Associate Dean and the School of Architecture.
  • Assists and shadows the Senior Academic Program Coordinator with course management responsibilities.
  • Provides backup support for the Senior Academic Program Coordinator and receptionist as needed.
  • Attends assigned school committee meetings, preparing meeting minutes for distribution and archiving.
  • Assists in support of all School of Architecture accreditations and assessment tasks.
  • Tracks and maintains institutional and school-wide membership dues.
  • Develops, implements, and promotes technologically advanced office protocols utilizing a high degree of innovation.
  • Contributes to fostering a positive and collegial work environment, with flexibility for additional hours during peak periods.
  • Other related functions as assigned.
Required Qualifications
  • Bachelor's degree and a minimum of three years of experience coordinating or administering an academic program.
  • Demonstrated innovation, initiative, and follow-through.
  • Demonstrated tact, diplomacy, and sound judgment in dealing with students, faculty, staff, and administrators.
  • Punctuality and professional demeanor
  • Excellent communication and organizational skills, with a high level of attention to detail.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Demonstrated interest in architecture, design, or fine arts.
  • More than the required amount of education and/or experience.
  • Recent experience working with faculty and students in an academic capacity.
  • Familiarity with university applications and systems, including Workday and FASET.
  • Demonstrated skills in a customer-focused setting and effective collaboration with faculty, student, and staff.
  • Knowledge of The University of Texas at Austin and School of Architecture programs and procedures.
Salary Range

$52,000 (fixed rate)

Working Conditions

May work around standard office conditions. Repetitive use of a keyboard at a workstation, use of manual dexterity. Lift and move standard office files and supplies. Appropriate office attire required as is a willingness to accept supervision. Work hours may include occasional evenings, weekends, and some holidays during peak periods to meet deadlines. This position is expected to work on site at the School of Architecture with opportunity for flexible work arrangements.
