Pay Range $91,320 - $134,100 Annually $91,320 - $111,840 Annually for the A03.2 level $109,530 - $134,100 Annually for the A03.3 level This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. Job Description
We have an opening for a Global Security (GS) Executive Assistant to the Principal Deputy. You will perform a full range of advanced and complex executive assistant services in a highly visible environment. You will also serve as a point-of-contact for the area and senior manager supported; interface with senior-level internal and external personnel to exchange, gather and disseminate information. This position is in the GS Principal Associate Directorate (PAD). In this role, you will
- Represent GS in daily interactions with senior management/executives both internal and external to the Laboratory and provide executive level support to the Principal Deputy.
- Proactively manage the daily schedule, calendar, email, contacts, meetings (internal and external), conferences, and professional engagements of the Principal Deputy.
- Initiate, clarify, compile, compose, edit, coordinate, finalize, and disseminate a variety of documents, messages, agendas, reports, and correspondence containing confidential, and sensitive information on behalf of the Principal Deputy.
- Serve as the executive point of contact and independently set priorities when committing the Principal Deputy's time; organizing and coordinating complex and often confidential calendars.
- Conduct preliminary research, make requests for information, compile, and coordinate internal and external information on a variety of business, operational, and administrative topics and manage complex and often confidential files.
- Schedule, plan, organize, and coordinate a variety of internal/external meetings and collaborate with the Principal Deputy and senior managers to develop meeting agendas, and identify and coordinate meeting attendees and presentation materials; responsible for distributing and tracking meeting notes and action items through completion; balancing and prioritizing regular updates.
- Arrange and approve travel arrangements and independently make complex itinerary adjustments as required.
- Provide backup support to the Senior Managers in GS and serve as a core member of the administrative team in GS.
- Manage confidential documents, including incoming correspondence, on behalf of the Principal Deputy, determining priorities, routing, and retention/destruction status using Laboratory guidelines.
- Perform other duties as assigned.
In Addition, at the A03.3 Level:
- Independently clarify, coordinate, communicate, and disseminate information on behalf of the Principal Deputy and other senior managers; independently assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.
- Supports the Principal Deputy and senior managers in moving projects forward by assisting with information gathering, communicating with different parties, developing and monitoring plans, keeping track of responsibilities, and driving appropriate prioritization of key initiatives.
- Conduct research and make requests for information, compile and coordinate internal and external information on a variety of business, operational and administrative topics.
- Serves as the administrative liaison to internal and external stakeholders, supporting the coordination of highly involved projects with frequently changing variables and minimal guidance.
- Independently assess and respond to inquiries; prioritizing actions, following-up, and ensuring resolution on a wide variety of issues.
Qualifications
- This position requires an active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire. Also, you must have the ability to obtain and maintain Sensitive Compartmented Information (SCI) access.
- Advanced experience providing executive assistant support to senior management/executives; experience representing senior management/executives to diverse internal and external contacts.
- Advanced executive assistant skills and experience including fast, accurate keyboarding and excellent grammar, proofreading, and editing skills; expert level skills and experience with personal computers and associated software; including expertise in preparing presentations using PowerPoint or similar software and experience using Excel and Teams.
- Experience coordinating and leading administrative projects; demonstrated analytical, problem-solving, and decision-making skills necessary to independently identify and recommend appropriate actions and solutions to administrative issues.
- Advanced knowledge of business, operations and organization of area supported.
- Advanced organizational skills and the ability to prioritize multiple and complex tasks and work effectively in a fast-paced environment, with short deadlines and frequent interruptions.
- Advanced communication skills to effectively interact and represent the CoSand DPen with all levels of management, both internal and external to the Laboratory.
- Knowledge of appropriate handling of sensitive and/or classified documents and protection; experience working effectively with sensitive issues and exercising judgment and discretion.
In Additional qualifications, at the A03.3 Level:
- Associate's degree in a related field or equivalent combination of extensive experience and education in a related business, operational and/or organizational area.
- Broad experience and knowledge of business, operations, and organization of area supported; knowledge of external organizations related to area supported. Significant knowledge of Laboratory mission, business, and operations. Demonstrated use of knowledge for resolution of a variety of topics.
- Significant experience working closely with and representing senior management/executives to diverse internal and external contacts, communicating senior manager's direction to various recipients.
- Ability to handle sensitive and confidential issues with tact and discretion, knowledge of appropriate handling of sensitive and classified documents.
- Advanced problem-solving and decision-making skills necessary to independently recommend appropriate actions and solutions.
