Supervisor, Medical Staff Operations

Description The Supervisor Med Staff Operations provides administrative and business leadership support and coordination for the Medical Staff office. Responsible for the ongoing daily operational issues of the division. To ensure that systems are safe, effective, appropriate, and compliant with applicable regulations and standards, leads or participates in planning and implementing projects. Assists in the development, monitoring, and implementation of cost-effective projects. Coordinates and monitors payroll, schedules, and non-clinical systems. Responsible for maintaining a productive and professional environment, promoting excellent internal and external customer relations, and coordinating the assignment of tasks to the support staff. Supervises the performance of support staff and ensure efficient and cost-effective operations within the area of responsibility. Accountable for the quality and integrity of data entered into systems and monitors administrative activities related to the Medical Staff Office. Works collaboratively with the Director to assign work to team members, assuring timely completion of project milestones and deliverables as appropriate. Emphasis is placed on data mining, customer services, provider satisfaction, staff development, and fiscal goals.
Qualifications

Minimum Education
Bachelor's Degree (Required)
Master's Degree (Preferred) CPCS/CPMSM Certification (Preferred)

Minimum Work Experience
5 years of related and progressive experience with a minimum of 1 year supervisory experience (Required)

Required Skills/Knowledge
Excellent customer service skills.
Strong organizational and interpersonal and written communication skills.
Must have ability to prioritize, delegate and manage multiple responsibilities.
Must be able to work independently on assigned tasks and follow through to completion.
Good supervisory skills.
Ability to delegate assignments and follow through on details is essential.
Excellent consumer relations skills.
Knowledge of physician billing practices, insurance enrollment and credentialing.
Proficient with Microsoft Word, Excel and Power Point.

Functional Accountabilities
Strategic Planning



  • Participate in the planning for new business opportunities and services in support of the CNMC mission.


  • Maintain effective working relationships with hospital departments and represent CNMC in professional groups and community outreach activities.


  • Assist with marketing of department with Public Relations, to external referring physicians, internal departments and physicians.


  • Enhance operations between State Crime Victim's Compensation Program and the business office to maximize victims of crime compensation reimbursement.


  • Review and monitor monthly statistics; analyze variances and communicate gaps and correction plan with leadership.


  • Foster close and effective working relationships with BI. Clinical Analytics and Population Health partners.


Human Resources



  • Trains staff in customer service activities and maintains high level of customer service.


  • Provides education and feedback to staff.


  • Recognizes and share incremental improvements in operations.


  • Monitors and promotes efficiency in the team's operations.


  • Participates in the orientation and onboarding of new employees.


  • Maintains and processes employee time cards and attendance records.


  • Ensures compliance relating to all communication and activities for the division.


Database Management Support



  • Complete all data request for both internal and external stakeholders.


  • Manage Medical Staff database and ensure accuracy of all documented information.


  • Optimize and standardize data collection and storage.


  • Serve as liaison between division and Leadership for data requests.


  • Serve as the expert in the day to day methods in retrieving data, generate and publish reports.


  • Serve as the liaison with database vendors, for technical problems associated with the data and server environment and coordinate contact and corrective actions.


  • Develops and applies metrics around time of hire, medical staff application date, licensure application, licenses granted and medical staff privileges approved.
