Provide high-level administrative support to a group of physicians, applying independent judgment to execute tasks based on high-level guidance from faculty physicians.

Duties include, but are not limited to:

  • Organizing and assembling licensing and recredentialing paperwork, based on stated requirements, and driving the process forward by identifying next steps
  • Updating HMS CVs and assembling HMS promotion paperwork
  • Completing submissions for MOC/CME
  • Submitting, tracking, and filing complex expense reimbursements and other financial transactions with attention to not just accuracy and timeliness, but also adherence to MGB and sponsor guidelines
  • Assisting with updating and maintaining website(s) and/or Twitter or other social media platforms
  • Proofreading and submission of manuscripts; use of Endnote, Zotero, or other reference managers
  • Coordinating clinic schedules around vacations and meetings
  • Preparing PowerPoint slides for scientific presentations
  • Designing posters for submission to research conferences
  • Performing systematic literature reviews and synthesize relevant data
  • Helping with grant application preparation
    • Drafting and proofreading administrative components of grant applications
    • Reviewing documents for compliance with institutional and sponsor requirements

Employees are expected to respond within 24 hours to requests from physician investigators

  • Work can be completed over 1-2 weeks, depending on the request, but responding promptly with availability is essential
