General Summary:

The Executive Assistant/Contract Specialist plays a crucial role in providing comprehensive administrative support to the Executive Team at Ritter Communications. Primary responsibilities of this role include contract analysis, contract management and ensuring all agreements are thoroughly reviewed and maintained in accordance with company standards.

This position supports the overall business by serving as a point of contact for a variety of operational and logistical office functions and is also responsible for working closely with different departments to facilitate smooth day-to-day operations and ensure all needs are met.

Overall, the Executive Assistant/Contract Specialist is vital in helping the organization maintain an organized and effective business environment while supporting strategic initiatives at the executive level.

Essential Job Functions:



  • Executive Assistant

    • Performs a variety of administrative duties for the Executive Team, such as generating and distributing correspondence, compiling information and summarizing data for presentations and reports, reconciling expense reports, arranging travel plans, etc.;
    • Plans, schedules, and coordinates off-site meetings, strategic planning sessions, and other important company events;
    • Assists Executive Team with civic duties and commitments involving various chambers of commerce, charitable boards, special events and other activities;
    • Serves as primary liaison for assigned Ritter Communications office facility and coordinates general office functions such as greeting guests, coordinating lunch and refreshments for working meetings, distributing mail, coordinating with Facilities staff regarding any issues, ordering office supplies and other miscellaneous items.


  • Contract Specialist

    • Assists senior management in reviewing legal documents, contracts, and other business-related agreements;
    • Works with external legal counsel regarding contract negotiation/enforcement and other legal matters as directed;
    • Responsible for managing contract documentation, securing signatures from appropriate company officers, tracking renewals, and informing stakeholders about contract status;
    • Organizes and maintains filing systems, both physical and digital, ensuring efficient document retrieval


  • Travels to customer sites, project areas, business related events, and other Ritter Communications locations as required;
  • This position requires the individual to work onsite Monday through Friday, therefore hybrid work options are not available;
  • Performs all other related duties as assigned by the Vice President, Corporate Services.


Knowledge, Skills, and Abilities:



  • Knowledge of Company policies, procedures, products, and services;
  • Strong understanding of legal terminology and procedures, including contract review, compliance, and risk management;
  • Excellent written and verbal communication skills;
  • Proficiency in various software including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with legal management software is a plus;
  • Skill in planning and organizing meetings and travel agendas;
  • Ability to communicate and interact with coworkers and external business contacts in a professional and courteous manner;
  • Ability to work independently with little direction;
  • Ability to organize, prioritize and handle multiple assignments simultaneously and to maintain high levels of confidentiality when dealing with executive information;
  • Ability to analyze data with close attention to detail and make sound decisions with the available information;
  • Ability to travel for business requirements; must possess a valid Driver's License with a satisfactory driving record.



Education and Experience:

High School Diploma or equivalent required with a bachelor's degree in business administration or related field preferred, plus at least five years of legal or executive administrative experience preferred.
