You'll manage schedules, foster collaboration, and help create an organized, welcoming workplace. If you're passionate about supporting people and processes - we'd love to meet you! Your location: New York City, NY Your title: Office Manager You will Report to the Head of Fine Fragrance North America and have one direct report. You will: Executive Support & Personal Assistance
- Manage complex calendars, meetings, travel arrangements, and correspondence for senior executives.
- Prepare presentation decks, compile pre-read materials, and track follow-up actions from meetings.
- Process expenses, invoices, P-card validations, vendor setups, and manage vacation/time tracking for direct reports.
- Coordinate client gifting, restaurant reservations, and travel logistics.
Business & Office Operations
- You will manage the front desk receptionist and oversee their deliverables to ensure superior client experience.
- Oversee office supplies and raw material coordination for the creative teams.
- Manage office communications, update Look Book and Floor Maps, onboard new hires, and support visitor logistics.
- Coordinate meeting and event logistics for Sales teams and site-wide activities.
- Lead sales administrative operations and coverage.
Event Planning & Collaboration
- Plan and implement internal and external events in partnership with Marketing, PR, Facilities, and IT, ensuring understanding of brand and culture.
- Organize employee engagement activities, cultural celebrations, and regional business events.
- Collaborate to ensure smooth site operations and executive visibility into daily activities.
- Additionally, you will handle ad-hoc tasks and projects as business needs evolve.
Your profile includes:
- A strategic approach with well-developed organizational and strategic planning strengths.
- An understanding of business dynamics and business practices in representing leadership.
- 1+ year of experience collaborating across all levels, functions, and global teams.
- Bachelor's Degree or equivalent experience.
- 3-5+ years as an Executive Assistant supporting senior leadership, in an international environment.
- Experience in project management and event coordination.
- Administrative skills: calendar management, meeting prep, and document handling.
- Experience with expense reporting, vendor coordination, and internal communication.
- The expected salary range for this position is 80-110k yearly. Actual compensation will be dependent upon individual qualifications.
