THE POSITION

The Department of Environmental Protection (DEP) is currently filling Limited-Term Clerical Assistant 1 positions. DESCRIPTION OF WORK

In this position, your primary responsibility will be to prepare documents for scanning into the DEP's OnBase Document Management System. This involves reviewing physical documents to remove any staples, binder spines, and ensuring that pages are organized correctly before scanning. You will also need to check the scanning start sheets to confirm that the attached documents correspond with the information provided, utilizing the EFACTs system for verification when necessary. Operating high-speed sheet-fed document scanners and large format map scanners, you will scan the prepared files into the OnBase system. It is essential to verify the completeness and accuracy of the scans before finalizing them in the OnBase System Workflow for quality assurance review. Additionally, you will update the DEP's Record Management System (RMS) to reflect that the files have been converted to electronic format and scanned into OnBase. You will be required to input data in a specified format to adhere to the data quality standards established by DEP's guidelines, ensuring the accuracy and completeness of entries while minimizing duplicative entries and data quality issues through the use of available system-specific tools.

Work Schedule and Additional Information:

  • This is a 9 month limited-term position without benefits, working 37.5 hour work week.
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
