Facility Receptionist

Job Description:

Purpose of the Position

The purpose of this position is to provide quality service to CBE staff and guest when entering the Clarksville facility. In addition, provide support to the Recruiting team.

Education and Experience Preferences

• High School Diploma.
• Prior Facility Security Guard/Receptionist/Administrative experience preferred.
• Customer Service experience preferred.
• Excellent communication skills.
• Excellent organization skills.
• Detailed oriented.
• Bilingual (English/Spanish) Strongly Preferred

Duties and Responsibilities

• Required to always maintain a professional and positive image/communications with staff and guest within the CBE facility.
• Answer and field inbound calls that come directly into the facility ensuring the correct department/party handles the inquiry.
• Sign for all packages that are received into the facility.
• Monitor and maintain visitor log in sheets; ensuring all visitors, vendors, clients, etc. sign in and out upon each in office visit.
• Monitor and maintain temporary, vendor and visitor badge access.
• Conduct weekly and monthly temporary, vendor and visitor badge audits.
• Assist HR in directing new applicants entering the facility to complete an electronic application.
• Contact HR when an applicant enters the facility for an interview.
• Assist HR in collecting I9 documents during new hire orientation and make copies needed.
• Coordinate with recruiting to execute Walk In Interview days.
• Conduct bi-lingual interviews to verify Spanish proficiency.
• Maintain event calendar for Recruiting/HR to include the community service, engagement events, committee events, and hiring events.
• Coordinate client and vendor visit meetings as requested by all staff. This consists of coordinating with the meeting organizer (who will provide a Client Visit checklist) and discussing/creating welcome signs, agendas, and any handouts needed. Additionally, set up will be required which may include booking/organizing a conference room and set coffee, amenities, lunches, etc.), and flights, hotels, and car rentals for external guests.

• Responsible for ordering necessary materials and office supplies for the Clarksville site.
• Assist with any other duties needed at the front desk.
• Assist with any other duties needed by the recruiting team.
• Create all signage for Clarksville events and post in facility.
• Attend the site leadership meeting and provide any facilities updates to leadership team so there is a clear understanding of what is happening in the facility.
• Maintain sign up sheets for Community Service events.
• Organize and schedule all food trucks for the Bimonthly food truck lunch days.
• Participate in Fun Committee and Recruiting initiatives as needed.
• Maintain the activity board for agent communication.

  • Must be able to exchange accurate information with co-workers, consumers and/or clients or vendors who have work related inquiries.
