The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations. |
Posting Summary |
Rutgers, The State University of New Jersey, is seeking an Assistant Director of Administration for the Division of Institutional Planning & Operations (IP&O). Reporting directly to the Vice President of Planning, Development, and Design, the Assistant Director (AD) serves as an integral member of the senior management team for Planning, Development, and Design (PD+D). The Assistant Director also provides support to the
EVP/
COO, undertaking assigned initiatives and special projects as assigned.
Among the key duties of this position are the following:
- The AD undertakes all tasks with confidentiality and discretion. This position has statewide responsibilities and therefore addresses tasks associated with a wide variety of academic, administrative, research, healthcare, and infrastructure projects as well as university service initiatives. The AD will support both the VP and EVP with effective decision-making, project management, and planning and execution of department and division-level strategic initiatives.
- The AD will provide high-level executive strategic, analytical, and organizational support to advance the objectives, mission, goals and Service Level Agreements of the department and division. The AD serves as a point of contact for the VP and EVP/COO and other senior leaders within the Division and prioritizes critical issues and information to facilitate efficient decision-making. Coordinates and coalesces the efforts of the functional areas of PD+D as directed by the VP.
- Acts as an extension of the VP and EVP/COO and information funnel, filtration, and facilitator with stakeholders. Assesses inquiries, determines priorities, and ensures proper course of action. Facilitates special projects, and ensures items are executed on behalf of the VP and EVP/COO.

Qualifications
Minimum Education and Experience |
- Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates a thorough knowledge and understanding of the Division.
- A minimum of 5 years experience in an institution of higher education or a corporate business administration setting with a focus on support services.

Preferred Qualifications |
- Bachelor's degree in Business Administration, Human Resources, Communications, Social Sciences, or a related field. Alternatively, a combination of a college degree and related work experience.
- Eight (8) plus years in a corporate business administration setting with a focus on support services preferred.

- Proficiency in standard Microsoft Office platforms required, including Visio and PowerPoint. Proficiency in Adobe Acrobat Pro required

Physical Demands and Work Environment |
- Most duties will be undertaken in a standard office environment. Some duties will require travel among campuses and off-sitelocations.
