Acentra seeks an Executive Assistant to join our growing team.

Job Summary:

We are seeking a highly performing and curious Executive Assistant to support our Chief Transformation Officer and Chief People Officer. This role is designed for an early-career professional. As Executive Assistant, you'll gain exposure to high-impact initiatives in transformation and culture, work alongside senior executives, and build foundational skills. With the right mindset and performance, this role can open doors to a wide range of opportunities across the company.

This is more than a traditional administrative role - it's a unique opportunity to work closely with and learn from two enterprise-level leaders at the forefront of organizational transformation and culture. This is a highly visible role with exposure to all C-Suite executives.

You will play a vital role in keeping these leaders and their teams focused on strategic priorities, contributing to key initiatives, and creating operational efficiencies across the executive office. The ideal candidate brings strong analytical thinking, anticipates needs before they arise, and is energized by fast-paced, high-impact work.

Job Responsibilities:

Proactive Executive Partnership

  • Serve as a thought partner and operational right hand to both the Chief Transformation Officer and Chief People Officer.
  • Anticipate needs, surface issues early, and resolve barriers that hinder executive efficiency or team momentum.
  • Independently prioritize high impact matters and manage sensitive topics with discretion and sound judgment.

Calendar and Strategic Time Management

  • Manage and optimize complex schedules for both leaders.
  • Coordinate and protect time for strategic priorities, ensuring clear focus and meeting readiness.
  • Drive workstreams on behalf of the executive office-managing timelines and tasks
  • Track and follow up on deliverables tied to key meetings or strategic initiatives.

Meeting & Event Orchestration

  • Own logistics and prep for internal and external engagements.
  • Prepare materials, agendas, and notes that advance outcomes, and follow through on action items with precision.

Executive Presentation Support

  • Refine executive-level presentations, correspondence, and briefings with a strong eye for clarity and professionalism.

Operational Excellence

  • Continuously improve processes such as travel planning, expense reporting, and procurement.
  • Leverage workflow and automation tools to drive efficiency and enhance responsiveness.

Team Support & Organizational Leadership

  • Act as a connector between executives and internal teams-building strong relationships and creating a seamless flow of communication.
  • Represent the executive office with professionalism, integrity, and a solutions-oriented mindset.
  • Daily interaction with corporate Executive Assistant team, partnering to provide backup administrative support as needed to other officers, ensuring continuity in executive support across the organization.
  • Act as an ambassador at headquarters, liaising with the Chief of Staff, Administration Manager, and other organization members to maintain a supportive and well-informed environment.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications

Required Qualifications/Experience:

  • Bachelor's degree in any discipline.
  • Expertise in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
  • Experience coordinating virtual/hybrid events using tools like Zoom and Teams.
  • Comfort with or interest in AI tools and workflow automation.
  • Exceptional organizational, interpersonal, and multitasking skills.
  • Regularly exercises tact, initiative, and sound judgment within established guidelines, supporting the executive team's objectives.
  • This position may require up to 5% travel.

Preferred Qualifications/Experience:

  • Project or initiative coordination experience is a strong plus.
