Job purpose Under the supervision of the Director of Facilities, the Facilities & Maintenance Associate supports the maintenance, safety, and operational efficiency of all company facilities in New Jersey. This role performs a variety of maintenance and repair tasks, ensures facilities remain in top condition, assists with facility-related projects, and manages inventory and vendor relationships. Essential Duties and Responsibilities
- Perform routine maintenance tasks, including carpentry, painting, plumbing, and basic electrical work.
- Ensure all facilities are consistently maintained in a safe, clean, and operational condition.
- Assemble, repair, and move office furniture, fixtures, and equipment as needed.
- Conduct routine inspections of heating, electrical, and air conditioning systems, replacing filters and reporting complex maintenance needs.
- Monitor facility safety and security, identifying and reporting hazardous conditions.
- Follow safety protocols and use appropriate protective equipment.
- Assist with custodial tasks and structural pest control measures.
- Manage inventory, order supplies, and maintain purchase records within an approved budget.
- Maintain records of maintenance activities, inspections, and repairs.
- Assist with special events, setup, and logistics as required.
- Handle mail distribution across company buildings.
- Assist in managing vendor relationships, coordinating service calls, and obtaining quotes for facility repairs and upgrades.
- Support facility-related emergency response efforts, including storm preparation and damage assessment.
- Oversee minor renovation projects and coordinate with contractors as needed.
- Ensure compliance with company policies, safety regulations, and local building codes.
- Perform additional duties as assigned to support facility operations.

- High School Diploma or GED required; vocational or technical training in maintenance, HVAC, electrical, or plumbing is a plus.
- 2-4 years of experience in facility maintenance, building operations, or a related field.
- Knowledge of maintenance procedures, tools, and equipment.
- Understanding of occupational hazards and safety practices.
- Strong organizational, problem-solving, and record-keeping skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication and customer service skills.
- Proficiency with basic computer applications, including Microsoft Office and work order management systems.
- Experience coordinating vendors, service providers, or contractors preferred.
- Ability to lift up to 50 lbs. and work in various conditions, including standing, climbing, and bending.
- Valid NJ Driver's License with a satisfactory driving record.
- Preferred: Professional licenses or certifications (e.g., plumbing, electrical, HVAC, OSHA safety training).
- Travel between company facilities is required.
