Acara Solutions is seeking an Administrative Assistant to work with our client, Alstom Transportation in Los Angeles, CA.
Pay: $28 - $33/hour (depending on experience)
Schedule: Monday - Friday 8am - 5pm (Onsite)
Job Type: 12-month Contract
Overview
As part of the Administrative Assistant duties, the responsibility of this post is to provide an efficient and effective administration service, covering the areas of record keeping, cost control and report preparation.
Key responsibilities
Provide an efficient and effective administration service to the site Manager and other cross function units.
  • Manage the business Time & Attendance management system
  • Undertake administrative duties as specified by the Manager, including organizing and taking minutes, travel & hotel booking, lunch order and meeting room requests.
  • Assist the needs of Operations
  • To produce & distribute reports, KPIs and Periodic reports and update weekly KPI's, MORs
  • To be responsible for processing Payroll, Agency timesheets, Monthly working hours and monthly invoice checks for Finance
  • Place order for stationary, tools etc.
  • To perform a range of administrative duties including, but not limited to; photocopying, mailing, dealing with queries, and greeting guests
  • To be responsible for Time & Attendance, update shift reports using correct WBS Annual leave & Sickness management - ALISTA, KRONOS
  • Actively promote & support 5S
  • Provide support & Cover as and when required
  • Provide support to HR department regarding employees, including medicals, new starters, personnel files
  • Perform PO and PR creation follow up with procurement and perform GR using Baseware, Ariba
  • Schedule team building activities, team lunch, Volunteer activities etc.
  • EHS Safety follow up & update with our EHS leader, safety training reminder and booking for training
  • Key person to follow the chargeback, FAC and warranty status.
Job Requirements
Qualifications
  • Diploma in the field of administration or secretarial work
  • 3-5 years of experience in administration
  • Strong organizational skills that reflect the ability to perform and manage multiple tasks seamlessly with excellent attention to detail.
  • Very good interpersonal skills and ability to build relationships with internal and external stakeholders.
  • Demonstrated proactive approaches to problem solving with strong decision-making ability.
  • Emotional maturity.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) is required
  • Knowledge of SAP an asset
