Overview:

The Records Management Specialist is responsible for overseeing the administration, maintenance, and ongoing development of records inventories, records schedules implementation, and file plan creation. This role is critical in ensuring effective records and information management (RIM) in all formats, including both electronic and paper formats, in accordance with organizational, legal, and regulatory requirements. The Specialist will also play a key role in developing and implementing policies, delivering training, and ensuring compliance with Controlled Unclassified Information (CUI), Freedom of Information Act (FOIA), and Privacy Act requirements.

Responsibilities:

  • Administer and maintain comprehensive records inventories and retention schedules, ensuring timely updates in alignment with organizational and regulatory requirements.
  • Develop and implement a comprehensive departmental element file plan that integrates electronic and physical records management systems and requirements.
  • Provide clear, consistent records guidance, policies, and procedures to stakeholders across the organization.
  • Enforce records management policies and standards through collaboration, audits, and communication with department leads and records custodians.
  • Design and deliver effective records management training sessions to staff, tailored to both general and specific business unit needs.
  • Manage the handling, storage, potential disclosure, and disposition of sensitive information in compliance with CUI, FOIA, and Privacy Act requirements.
  • Collaborate with IT and compliance teams to ensure records management tools and platforms (e.g., SharePoint within M365) are utilized effectively and in accordance with best practices.
  • Apply records retention and disposition schedules, ensuring proper management and disposal.
  • Serve as a point of contact for records-related questions, troubleshooting, and policy clarification.
  • Other duties as assigned.

Requirements:

  • Bachelor's degree in relevant field.
  • 3+ years of relevant experience.
  • Self-starter with an ability to work both independently and as part of a highly dynamic collaborative team.
  • Proven experience in records and information management
  • Strong knowledge of federal records inventory and scheduling requirements practices.
  • Ability to develop and maintain comprehensive file plans and organizational systems.
  • Experience delivering records management policy, guidance, and training across diverse teams and for varied audiences.
  • Familiarity with CUI, FOIA, and Privacy Act requirements, with the ability to apply them in a records management context.
  • Proficiency in Microsoft 365 tools, particularly SharePoint document libraries, permissions, metadata, and retention labels/policies.
  • Excellent written and verbal communication skills.
  • Detail-oriented with strong organizational and project management skills.
  • Must be a U.S. citizen.
  • Successful drug screening.
  • Ability to obtain and maintain a U.S. Department of Energy (DOE) security clearance.

Preferred Qualifications:

  • Experience in data governance.
  • Certification in Records Management (CRM) or Information Governance (IGP).
  • Previous experience working in a federal or government-regulated environment.
  • Familiarity with federal records management standards (e.g., NARA guidance).

Location/Work Arrangement:

  • This position is a Hybrid Work Arrangement in our Golden Field Office.

Starting compensation for this role typical salary ranges between $97,000 and $107,000 annually is commensurate with experience relative to the position and may vary based on candidate geographical location.
