Overview

Apogee has an exciting new opportunity for an Executive Administrative Assistant in support of the Acquisition Executive Office for Special Operations Forces (SOF) Acquisition, Technology, and Logistics (AT&L).

This is a full-time position located at MacDill AFB, FL



Responsibilities

    Perform all office administrative duties at the SES level, including travel, calendar, meetings, phone calls, correspondence, and office supplies
  • Manage Acquisition Executive Office (AEO) email with AE/DAE-level messaging, as required
  • Coordinate and schedule internal/external meetings, conference calls, video teleconferences, and events.
  • Manage travel, prepare travel itineraries, and provide meeting agendas, as required
  • Provide continuity in the Executive Administrator's absence.
  • Employ high-level TMT, DTS, Microsoft Office, and SharePoint proficiency to manage AEO administrative activities
  • Plan and coordinate administrative functions and provide information, assistance, and advice regarding official AEO functions
  • Act as an interface for high-level military and governmental visits/matters regarding programs under congressional oversight
  • Conduct data calls and execute workflow tasks in enterprise systems
  • Coordinate setup and execution of video teleconference (VTC) meetings in both open and secure environments


Qualifications

Minimum Experience:

Citizenship: Must be a US citizen
Clearance: Must have and be able to maintain a Top Secret clearance with SCI Eligibility
Education: High School Diploma
Years of Experience: Minimum of 11 years of relevant Executive Administration experience to include:

  • Assisting with the administration of calendars, meetings, conference room reservations, and conference room configuration
  • Supporting the development, editing, and production of reports and presentation materials for internal/external customers consistent with Government-required formats at the executive level
  • Managing office operations effectively using a variety of automation platforms, including the Microsoft Office suite
  • Collaborating with executive-level internal and external stakeholder organizations
  • Conducting files and record management at the executive level

Preferred Qualifications:
Education: Bachelors degree
Years of Experience: 9 years of Executive Administration experience to include:

  • Independent working level knowledge of USSOCOM systems for Forms 14, Defense Travel System (DTS), Task Management Tool (TMT), Share Point Portal, VTC procedures, and Meeting Scheduler
