Job Summary The Regional Office Administrator is responsible for various administrative functions including duties related to daily invoice previews, accounts receivable, accounts payable, credits, customer returns, weekly closing, monthly/quarterly items to review, offsite and managed inventory, budgets and the weekly P&L for multiple plants in the Mountain Mid-west Region. Also gives support to the plants in the region by maintaining frequent communication and helping troubleshoot any problems that may come up with production and shipping. Works under general supervision; a certain degree of creativity and latitude is required; relays on pre-established guidelines to perform the functions of the job. Checking costs discrepancies with product codes, costing forms, production black boxes, and shipping allocations. * Credits, Returns & Price Adjustments, including tax credits (RA to assist w/tax credits) * Identify, research, and resolve administrative problems and opportunities. Presenting to the team with results and solutions. * Assist in analyzing and identifying potential areas where cost savings may be realized * Help process weekly profit & loss statement * Assists with accounting functions in accordance with established procedures and Company policy (Accounts Receivable / Accounts Payable / Collections procedures) * Purchase orders (plant and/or miscellaneous), set up process, creation, and completion. * Reviewing Internal Control Checklist with Management (open purchase orders - plant and misc, open orders, etc.) * Inventory Headers, including off-site (Monthly / Quarterly / On-site Year End). * Inventory Adjustments, including production issues, cost corrections, inventory, write downs, and etc. Assist in analyzing and correcting variances in inventory. * Prepares various reports (examples: inventory, stocking lists, on time delivery) and correspondence as required * Cross train and fill in as necessary for other administrative staff (inside sales). * Provides assistance in answering phones and welcoming guests * Performs other duties as required and special projects as needed Skills: Analytical, problem-solving, patience, multitasking, organizational, customer service, teamwork, time management, creative, communication, and professionalism.
