Under the supervision of the Managing Partner (MP) in the Pre-Doctoral Group Practice Clinics, the dental unit coordinator is responsible for services in the areas of patient care coordination, student education support, and clinic management. The dental unit coordinator is responsible to ensure that each constituents needs are met in each area which are students, faculty, patients, staff and administration.

Duties & Responsibilities:

  • Patient Care Coordination: Assign and reassign patients to DDS and IDDP students as directed by MP; coordinate process for inactivating or dismissing patients and sends appropriate letters as needed. At the direction of the MP organize the transfer of patients from graduating students to others, ensuring that each patient assignment is addressed. Triage patient concerns/complaints and confer with the Managing Partner on issues of a serious nature. Contact patients as needed and write notes in the Axium record. Ensure that there is a phone line with voice mail to provide to patients; reviews and triages messages left for Managing Partner's attention. Assign faculty coverage daily with Managing Partner's Guidance and confer with the Managing Partner in advance to consider blocking chairs if not enough faculty supervision is present. Ensure that urgent care and screening patients have student assignments (each session).
  • Student Education Support: Create a file for each student and meet with individual students periodically to review their patient management efforts including overdue patients, aged balances, unapproved reports, patient complaints and discuss needs for patient assignments and provide the information to the MP to support student patient management grades. Responsible for collection of student grades and evaluations at the end of each semester in document form. Meet as needed with Managing Partner to discuss ongoing clinic issues, reports on student meetings, reports on student attendance, production, staff and patient issues.
  • Clinic Management: Responsible for monitoring attendance of faculty and students and maintains documentation of attendance for record purposes and provides a monthly report to the MP. Monitor all clinic areas, for cleanliness, disrepair, and compliance with all regulatory and licensing standards and report issues to dental assistants, housekeeping, or maintenance, as needed, and copy the Managing Partner on the request. Posts daily and/or verifies patient account payment received via mail from third party payers or patients or through direct interaction with the patient. Provides point of contact for inquires concerns and solutions related to patient's services and account issues. Perform data entry of various transactions associated with the collection of revenues for patient care services and patient demographic data. In accordance with College guidelines, monitors patient accounts receivable balances and makes adjustments to account balances, when indicated. Confirms the validity and accuracy of patient care transactions and submits claims to third party payers for services rendered. Run and prepare standardized reports for managing partner on a weekly basis (i.e. production, unapproved procedures, patient not seen etc.) Attend all meetings as requested or approved by the MP.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:
    1. High school graduation or equivalent.
    2. Two years (24 months) of experience comparable to that performed at the Dental Clinic Clerk II level of this series https://www.sucss.illinois.gov/pages/classspec/ViewSeries.aspx?tblCS_SeriesID=103.

    Preferred Qualifications:
    • Experience with electronic health record
    • Ability to communicate in English and Spanish
    • Dental Knowledge
