Under the supervision of the Director of Operations, the Business Manager provides essential support to the Department of Kinesiology and Nutrition in the areas of human resources, finance, and operations. Responsibilities include coordinating HR and payroll processes, financial reconciliation, contract monitoring, and organization of space and equipment inventory.

Duties & Responsibilities:
  • Assist with development of job descriptions, recruitment, and selection processes across all employee classifications (academic professional, civil service, extra help, and student employees).
  • Support search and waiver processes by gathering necessary documentation for recruitment committees.
  • Assist with onboarding and orientation for new hires.
  • Coordinate offboarding procedures, including collection of resignation/retirement documentation and retrieval of university property.
  • Manage departmental appointment requests and reappointments; maintain database to track changes.
  • Collect and compile data for HR-related reporting and requests.
  • Serve as an HR resource to staff and faculty by providing guidance based on university policies and procedures, consulting with the Director of Operations or College HR when necessary.
  • Process requests for remote work outside of Illinois or the U.S.
  • Assist with credentialing requirements for UI Health appointments.
  • Process payroll adjustments for current and prior periods, including overpayments.
  • Support the Director of Operations with annual salary planning and summer salary allocations
  • Review and approve biweekly time reporting to ensure accuracy and compliance.
  • Monitor salary allocations for personnel to ensure proper funding alignment.
  • Reconcile monthly financial statements for assigned funds.
  • Prepare and submit journal entries as required.
  • Collaborate with the Program Assistant to prepare and track contracts and sponsored research awards.
  • Collaborate with Program Assistant in supporting purchasing and procurement processes.
  • Assist with purchasing and travel card (P/T card) account maintenance.
  • Assist with maintaining space and equipment inventory records.
  • Develop training materials and standard operating procedures for faculty and staff based on knowledge of internal department needs and university policies.
  • Serve as a liaison with vendors, administrators, and other internal/external stakeholders.
  • Ensure compliance with institutional and regulatory guidelines.
  • Maintain business operations records and documentation.
  • Gather and analyze data to support operational decision-making and reporting.
  • Build and maintain effective working relationships across the department, the College of Applied Health Sciences, and other administrative units at UIC and within the University of Illinois system.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. A. Bachelor's degree in accountancy, business administration, management, or a closely related field.

OR

B. Three (3) years (36 months) of work experience in accounting, business administration, fiscal management, or closely related experience.

OR

C. A combination of such education and/or work experience totaling three (3) years (36 months), as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)

Preferred Qualifications:
  • Knowledge of University of Illinois System applications and platforms such as iBuy, TEM/Emburse, Banner, EDDIE, HR FrontEnd, JDXpert, and Cornerstone.
  • Familiarity with University of Illinois organizational structure, functions, policies, and systems.
  • Experience working in higher education or within the State University Civil Service System.
