Position Purpose |
Assists in the day-to-day oversight of facilities management |
Required Qualifications |
Education:
- High school diploma or equivalent required
Experience:
- At least 2 years of experience in coordinator/operations role
- Proven track record of successfully managing multiple projects and tasks simultaneously
- Experience working in a fast-paced, dynamic environment
Skills:
- Strong organizational and communication skills
- Ability to work effectively with diverse groups, including staff, students, and external partners
- Ability to prioritize tasks, manage time, and meet deadlines
- Basic math skills, including ability to manage budgets and track expenses
- Physical ability to lift, carry, and move supplies and equipment as needed
- Strong attention to detail and problem-solving skills
- Ability to think critically and make sound judgments
- Strong customer service skills, including ability to handle conflicts and complaints
- Ability to work independently and as part of a team
- Strong time management and prioritization skills
Technical Skills:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Basic knowledge of facilities management software (e.g., maintenance tracking, inventory management)
Other:
- Availability to work flexible hours, including evenings, weekends, and holidays
- Ability to handle emergency situations, including injuries and weather-related issues

Preferred Qualifications |
Certifications/Licenses:
- First Aid/CPR certification (or willingness to obtain)
- Basic Life Support (BLS) certification (or willingness to obtain)
- Familiarity with OSHA regulations and safety protocols
Other
- At least 2 years of experience in facilities operations or event management, or a combination of both
- Bachelor's degree in a related field (e.g., facilities management, event management, hospitality) preferred
- Familiarity with event management software and systems (e.g., ticketing, scheduling)
- Basic knowledge of facilities management principles, including maintenance, upkeep, and safety protocols

Key Accountabilities
Key Accountabilities |
Facilities Operations - 50%
* Assists in the day-to-day oversight of facilities management.
* Quality control walkthroughs of
DCARD facilities, including daily walkthroughs to ensure proper function, tracking preventative maintenance opportunities, and assessing cleanliness and custodial performance.
* Assist in the submission of work orders to FO&M, as well as work order data collection and follow-up.
* Assist in the coordination of office space moves with FO&M.
* Manages and stocks the department office supplies, ensures the mailroom supply is stocked and in the proper area.
* Oversee all aspects of the mailroom (distribution of Hinman Mail,
USPS, FedEx,
UPS etc.).
* Ensure the tidiness and cleanliness of the copy room/kitchenette.
Event Management - 40%
* Serves as a primary event manager for multiple, home varsity contests.
* Directs, supervises, and coordinates all facets of athletics event management with input from their supervisor(s) while overseeing event management staff.
* Coordinates game day staff, including officials and coaches to ensure adequate personnel for game operations and to support visiting teams.
* Facilitates the development and implementation of policies and procedures that contribute to high quality varsity athletics events for both the participants and the spectators.
* Works with head coaches to understand home events, needs and preferences.
* Ensures proper facility and equipment set-up for events.
* Coordinates and helps execute special
DCARD events, including but not limited to, AD's
BBQ, Celebration of Excellence,
Holiday Party, All-Staff meetings,
DAAB meetings.
* Coordinate with event workers to ensure that their responsibilities are clear, and duties are being performed properly.
* Handle any emergencies on-site (injury on field, weather issue), assist with crowd control (act as a liaison with Dartmouth Safety and Security and Hanover Police, when applicable) and troubleshoot.
