Summary:

The position will support the VP of Development as well as the CDO for RIH and HCH. The position will liaise with all hospital based development teams regularly - and will help coordinate regular updates to our database and moves management program. The employee will also work closely with hospital president offices as well as with the CEO's office and coordinate stewardship events and meetings on an as needed basis an in conjunction with the Donor Relations Team.

Responsibilities:

Reviews correspondence, memoranda, and routine reports prepared by others for executive's signature; checks format, accuracy, compliance with procedural instructions, and ensures that necessary background material is attached.

Maintains appointment schedule, arranges for meetings and conferences. Reserves travel and lodging accommodations.

Maintains accurate and orderly files of all office correspondence; maintains confidential and personal files.

Requisition office supplies with authority to sign for purchases within specific limits.

Performs other related duties as required.

Provides administrative support in executing the details of fund-raising and/or event plans for Brown University Health partners. May serve as the primary contact for administrative functions to fund-raising tasks and/or event activities.

Types a variety of materials including memos, general correspondence, reports, meeting minutes, action plans, and gift and pledge acknowledgements. Edits and proofreads a variety of materials as requested. Composes rough and final drafts of general correspondence according to own knowledge of the situation.

Answers phones and receives visitors into the area. Ascertains needs and establishes priorities on a daily basis. Utilizes effective communication skills to provide satisfactory customer service. Serves as primary contact/host to donors/prospects in the absence of senior development staff.

Maintains calendar or fundraising activities and events and other related meetings and volunteers' activities. May coordinate meetings outside of the office as needed. Serves as liaison with Foundation and Development and events Committee volunteers.

Other information:

BASIC KNOWLEDGE:

Equivalent to an Associate's Degree in Secretarial Science. Shorthand may be required. Comprehensive knowledge of PC word processing and spreadsheet software applications.

EXPERIENCE:

Five years progressively responsible secretarial experience preferred

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Work is performed in a typical office environment, requiring extended periods of sitting, standing and walking.

None.
