Description

Job purpose

The Fleet Coordinator will provide support to the Fleet Manager in overseeing the day-to-day operations of the company's fleet. Will coordinate with internal and external partners to facilitate and communicate vehicle readiness through all stages from purchase to disposal. Will act as liaison between the corporate office and field locations for fleet related activities.

Duties and responsibilities




  • Maintain and administer the fleet database using internal and external data sources
  • Monitors and records fleet activities, track repairs, vehicle weight, and maintenance information
  • Coordinate and maintain records for vehicle purchases, vehicle transfers and vehicle sales
  • Issue fuel cards, annual fleet cards and process fuel card invoices
  • Ensure proper use of company issued fuel cards
  • Process vendor invoices for fuel cards, vehicles, maintenance, glass, mileage reimbursement (Motus), decals, etc.
  • Ensure repairs and maintenance work is completed according to organization and industry standards
  • Coordinate with drivers and operations to ensure vehicle availability and delivery
  • Maintain titling, registration, inspections, and renewals of fleet vehicles
  • Provide reports to management on budgeting, schedules, maintenance, and fleet progress
  • Schedule and annotate post purchase vehicle upfit according to need
  • Facilitate the AFE (Authorized Funds Expenditure) process as it relates to fleet vehicles
  • Assist with collection and maintenance of DOT documentation
  • Perform administrative duties, record keeping, filing, etc.
  • Perform other duties as assigned


Qualifications

Qualifications




  • Must have a minimum of 3 years administrative/office experience
  • High school diploma or equivalent is required
  • Must maintain an active, valid driver's license



Knowledge, Skills, and Abilities




  • Strong knowledge of Microsoft Office and Excel
  • Advanced organization and time management skills
  • Must be a team player and self-starter
  • Ability to effectively communicate with others, both written and verbal communication
  • Must be able to operate basic office equipment such as keyboard, computer, scanner/printer, use of phone, etc.
  • Ability to deliver and maintain customer service with external vendors and internal departments
  • Ability to be provide timely response, with an organized customer service attitude
