SUMMARY: We are seeking a reliable and detail-oriented Office Administrator to join our team. This individual will play a key role in ensuring that daily financial and clerical operations run smoothly. The ideal candidate will be responsible for managing utility payments, business taxes, miscellaneous expense reports, and invoices. In addition, they will assist with general clerical tasks to support the broader business operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties and special projects may be assigned.

  • Utility Payments
  • Manage and process payments for business utilities (electricity, water, internet, etc.), ensuring all accounts are paid on time.
  • Business Taxes
  • Assist with processing business tax-related documents and ensure timely submission of required payments and filings.
  • Expense Reports
  • Review, process, and track miscellaneous employee and departmental expense reports for accuracy and compliance.
  • Invoice Management
  • Process and pay miscellaneous invoices (vendors, suppliers, etc.), ensuring they are accurate and paid within the agreed-upon terms.
  • General Clerical Support
  • Perform general administrative tasks such as filing, data entry, preparing reports, answering phones, and other office duties as needed.
  • Record Keeping
  • Maintain accurate records of payments, invoices, and other financial transactions for easy retrieval and audit purposes.
  • Communication
  • Liaise with vendors, employees, and other departments as needed to resolve any discrepancies or issues related to payments or invoices.
  • Adheres to and complies with applicable, federal and state laws, regulations and guidance, including those related to anti-money laundering (i.e. Bank Secrecy Act, US PATRIOT Act, etc.).
  • Adheres to Bank policies and procedures and completes required training.
  • Identifies and reports suspicious activity.

EDUCATION
HS Diploma or equivalent; additional certification or education in administration or accounting is a plus
EXPERIENCE

  • Proven experience in office administration, finance, or a similar role

KNOWLEDGE, SKILLS AND ABILITIES

  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.) or similar software tools.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and critical thinking abilities.
