HJF is seeking an Executive Project Coordinator to provide administrative and clerical support to an executive within the company. Requires a thorough working knowledge of HJF's operations and policies and procedures.

This position will be in support of Biotechnology High Performance Computing Software Applications Institute (BHSAI). Responsible for providing programmatic oversight to administer the execution, monitoring, and risk mitigation of numerous projects/awards. Specific areas include: acquisition and maintenance planning, and high-performance computing administration. Works on problems of moderate scope and exercises judgment within defined procedures and policies.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike.Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.



  • Receives incoming telephone calls and personal callers. This involves determining if a call can be referred elsewhere and obtaining required background information if necessary.
  • Maintains a calendar of appointments and schedules appointments and conferences without prior clearance based on knowledge of supervisor's schedules and previous commitments.
  • Makes necessary arrangements for conferences and meetings. Collects and prepares material for supervisor's use for meetings. Makes all necessary travel arrangements.
  • Reviews and replies to incoming correspondence. Drafts reply letters to inquiries.
  • Receives, screens, and distributes incoming mail and reviews and prepares outgoing correspondence.
  • Handles detailed matters which are highly confidential and critical.
  • Makes high level contacts of a complex nature both inside and outside HJF.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.


Education and Experience



  • Associates Degree.
  • Minimum of 9-10 years experience is required.


Required Knowledge, Skills and Abilities



  • Knowledge of organizational objectives, office automation; budget processes, ability to work completely independently.
  • Ability to use sound judgement in solving problems.
  • Ability to coordinate many complex systems and programs at the same time.
  • Excellent communication and interpersonal skills.
  • Demonstrated ability to plan, schedule, and coordinate activities to meet deadlines.
  • Working knowledge of a variety of software including but not limited to Microsoft Office, proposal/project tracking, and data analysis software.
  • Ability to obtain and maintain a T1/NACI investigation.
  • Must reside in the US for the past 3 out of 5 years.


Physical Capabilities



  • Lifting: Requires lifting materials up to 25 lbs.


Work Environment



  • This position will take place primarily in an office setting.


Compensation



  • The annual salary range for this position is $64,200-$94,000. Actual salary will be determined based on experience, education, etc.
