Rutgers, The State University of New Jersey is seeking a Business Specialist (Campus Engagement) for the SA-Finance and Administration Central Business Office.
Among the key duties of the position are the following:
- Oversees key fiscal and business administrative functions for Campus Engagement portfolio within Student Affairs, including purchasing, invoice processing, general accounting, payroll, and financial reporting.
- Maintains underlying financial data and overseeing financial reporting for assigned departments, which includes financial analysis, monitoring budget compliance and tracking of expenditures, monitoring the expenses of approved grant awards and preparing reports based on established timelines and any ad-hoc reports, as needed.
- Works with each of the area Directors to develop their annual budgets and reconciles their professional salaries budgets.
- Ensures quarterly forecasts are updated and provides variance analysis on financial activity.
- Handles the annual close process for the areas that they oversee.
- Makes recommendations on improving the financial and business processes in an effort to improve operations and create efficiencies whenever possible.
- Oversees the procure-to-pay process for the departments and reviews expenditures to determine funding availability and appropriate programmatic support of the department's strategic mission and objectives.
- Ensure that purchases are submitted using the appropriate forms, charges the correct budgets, includes appropriate documentation, and follows the established guidelines and procedures and policies developed by University Procurement.
- Handles final HCM approval of class 5 employees as well as final review of time and labor for Class 4s & 5s within the departments that use Hourly Payroll to ensure the payroll is accurate and that there are no data entry errors.
- Prepares monthly payroll reconciliations for departments using Hourly Payroll to ensure transactions have been properly recorded.
- Serves as the approver for Commitment Accounting for the departments they oversee, ensuring charging instructions are accurate.
- Works with staff to assist with payroll and hiring issues for part-time employees and serves as Budget Approver in the ROCs System for the areas they oversee.
- Supports and manages the usage and access for Tix.com, a ticketing site used by the Division of Student Affairs.
- Works with staff in obtaining access, provides training, develops, maintains and executes policies and procedures related to the purchase of tickets.
- Oversees the transfer of funds to the appropriate accounts and reviews the reconciliation process.
- Serves as back-up for the Accounting Assistant in making sure daily cash transmittals are properly prepared and deposited according to university policies.
- Oversees various central functions, such as space management, and funding and expenses for Central special events, as needed.
- Participates in various University and Division-wide initiatives related to financial management and accounting.
- Works under general supervision, within established work parameters, with few direct instructions.
- Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.

Qualifications
Minimum Education and Experience |
- Bachelor's degree in accounting, finance, business administration, or related field, and two (2) years of relevant experience in a financial/accounting function; or an equivalent combination of education and/or experience that demonstrates a comprehensive knowledge and understanding of the required duties of the position.
