Overview

The Office Manager is responsible for management and supervision of all corporate support services including the reception area, logistics, and procurement; coordinating administrative support staff, including work schedules; monitoring and enforcement of various company policies and procedures, and the optimization thereof; as well as hiring, training, evaluating, and dismissing (if necessary) employees. Responsibilities include, but are not limited to, management and administration.

Responsibilities

  • Management of all office management (OM) staff
  • Managing various vendors/partners (including legal, credit card vendors, etc.)
  • Review, approving, and processing OM and corporate legal documents and/or invoices
  • Participating in the employee onboarding process, including employee orientation, distribution of assets, preparation of work spaces, and ordering of business cards
  • Asset management
  • Managing OM budgets
  • Communicating with staff, vendors, and clients
  • Implementing, maintaining and optimizing procedures
  • Management of vehicle fleet
  • Document control (including warehouse management and assisting with Corporate Governance activities)
  • Coordinate corporate-level insurance and surety services
  • Arranging internal office personnel moves
  • Supervising the coordination of office activities
  • Ensuring the office runs smoothly, is clean, orderly, and safe
  • Procurement of office supplies, office furniture, and office apparel, etc.
  • Management of Corporate travel program
  • Other OM activities as may be needed

Qualifications

  • Requires a high degree of professionalism and strong work ethic.
  • A High School Diploma - Bachelor's degree preferred
  • Bilingual - English and Spanish
  • minimum 5+ years' managing/supervising administrative or office manager role
  • Strong organizational, follow-through and communication skills are needed.
  • Must be able to multi-task and stay focused while prioritizing and addressing daily issues.
  • Proficient with the following software:
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Adobe Acrobat
