Purpose

The Senior Academic Program Coordinator for Texas McCombs' MS in Technology Commercialization (MSTC) plays a vital role in the successful execution of the program. This role supports course delivery, student engagement, faculty collaboration, and operational logistics for MSTC's hybrid weekend-based format. The coordinator will work closely with the MSTC Associate and Faculty Directors to oversee day-to-day academic operations, support students throughout their academic journey, and ensure a seamless experience for in-person and online learners.

Responsibilities Student Advising and Engagement
  • Provide academic advising and support to MSTC students, including tracking degree requirements and identifying at-risk students for early intervention.
  • Maintain student records, monitor academic progress, and proactively communicate key deadlines, policies, and opportunities.
  • Create and administer surveys to capture sentiment, preferences, and other feedback to support planning and decision making.
  • Track, analyze, and report student data - provide data to external offices such as Dean's office, Graduate School, University Assessment, and external program.
  • Support co-curricular initiatives in partnership with the MSTC Director, Career Management, and faculty to enhance student experience. This includes events tailored to program-specific academic interests, social events, and/or career industry events, as well as events intended to improve alumni engagement.
Academic Program Operations
  • Manage and maintain Canvas course sites, ensuring timely posting of course content, announcements, assignments, and updates.
  • Coordinate the dissemination of teaching materials and resources to students and faculty.
  • Ensure materials presented in class are available to online students.
  • Work with MSTC faculty to update syllabi, course schedules, and assignments; ensure alignment across course materials and deadlines.
  • Serve as a key academic resource for students regarding registration, enrollment, degree progress, policies, and university resources.
  • Collaborate with Centralized Marketing team (CMCO), Associate Director, and ecosystem partners to support brand building, recruiting, advertising initiatives, and other communication efforts to support market awareness and penetration.
Class Weekend and Event Coordination
  • Lead onsite logistics and operations during MSTC class weekends, including room setup, catering, AV, printed materials, and visitor support.
  • Coordinate major program events such as Launch Week, Graduation, Global Seminar Trips, Speaker Series, and networking events.
  • Lead the onboarding of new MSTC students during Orientation and serve as a consistent point of contact throughout the year.
Program Administration and Budget Support
  • Assist with MSTC admissions, enrollment, and scheduling processes.
  • Track and manage program expenditures for events and co-curricular programming to contribute to budget planning.
  • Provide feedback on program processes and support continuous improvement initiatives.
Required Qualifications
  • Bachelor's degree and five years of experience in program coordination, student affairs, or a related field.
  • Exceptional oral and written communication skills.
  • A commitment to providing excellent administrative support to students and faculty.
  • Demonstrated ability to work independently, solve problems creatively, and make sound decisions.
  • Strong organizational skills and attention to detail; ability to manage multiple tasks and deadlines with accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with web-based platforms such as Canvas.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Master's degree in higher education administration, social work, business administration, or similar field.
  • Experience with software platforms for registration, surveys and communication (e.g., Constant Contact, Qualtrics, MailChimp, etc.)
  • Demonstrated attention to detail.
  • Experience with University of Texas policies, procedures, and administrative systems related to job functions.
  • Demonstrated ability to collaborate across functional areas and contribute to a dynamic team environment.
  • Knowledge of self-funded graduate programs (Option III) and budget management experience.
Salary Range

$55,000 - $60,000 + depending on qualifications

Working Conditions
  • Working in a standard office withrepetitive use of a keyboard at a workstation.
  • Work schedule is generally8am - 5pmwith regular weekend work.
  • This is an Austin, TX-based position.
