Purpose of the Role:
The Executive Assistant provides expert-level administrative and operational support to senior executives to ensure efficient use of time, seamless communication, and effective coordination across the organization. This role acts as a trusted liaison, supporting key decision-making activities and fostering productive interactions with internal and external stakeholders. The Executive Assistant plays a critical role in advancing Worley's purpose of delivering a more sustainable world by ensuring that our leaders are well-positioned to drive projects, relationships, and strategies that align with our ambition to lead the transition to sustainable energy and resources.

Key Responsibilities:

  • Deliver comprehensive executive support, including managing calendars, coordinating schedules, and planning meetings to optimize executive time and organizational impact.

  • Act as the primary point of contact for internal and external communications on behalf of the executive, maintaining confidentiality and professionalism in all interactions.

  • Prepare, review, and edit reports, presentations, and communications to ensure clarity, accuracy, and alignment with Worley's purpose and strategic objectives.

  • Coordinate travel arrangements and logistics, ensuring cost-effective and efficient solutions that support business needs.

  • Maintain accurate company records and information systems, ensuring compliance with organizational policies and procedures.

  • Analyze data, compile insights, and prepare summaries to support informed executive decision-making.

  • Represent the executive at internal meetings or external events, as needed, ensuring consistent messaging and follow-up on actions.

  • Facilitate cross-functional collaboration by liaising with teams across the organization to support projects and initiatives aligned with sustainability goals.

  • Identify opportunities to improve administrative processes and implement best practices to enhance operational efficiency.

  • Provide mentorship or training to junior administrative staff, sharing knowledge and supporting their professional growth.

Qualifications / Skillset:

  • Technical diploma, associate degree, or equivalent education in a relevant field.

  • Extensive experience in executive-level administrative support, demonstrating advanced skills in managing complex, high-visibility tasks and projects.

  • Recognized expertise in executive administration, with a strong ability to exercise discretion, judgment, and decision-making in sensitive situations.

  • Proven ability to anticipate needs, set priorities, and manage competing demands with a focus on delivering results under limited supervision.

  • Exceptional written and verbal communication skills, with the ability to inform, influence, and collaborate effectively across all levels of the organization.

  • Advanced proficiency in organizational systems, processes, and digital tools, with the ability to troubleshoot and support others in their use.

  • Strong analytical and problem-solving abilities, including experience compiling and interpreting data for executive review.

  • Adept at building relationships, managing confidential information, and maintaining a high degree of professionalism in all circumstances.

  • Demonstrated ability to adapt to evolving priorities and contribute to organizational transformation initiatives, particularly those focused on sustainability and innovation.
