PURPOSE OF POSITION: The Skier Services Administrative Coordinator supports the Skier Services Administrative Manager with tasks and projects, while also assisting the management team and in other areas of Skier Services operations. This position serves as an informational resource, answering questions about ski school programs, scheduling, and general information. The person in this position must be highly organized, attentive to detail, collaborative, and excellent with people.
RESPONSIBILITIES:
Administrative Support
- Work with the Skier Services Administrative Manager to support the Skier Services team (nine departments, 35+ managers and supervisors, and 700+ ski instructors).
- Maintain office supplies and assist with office equipment troubleshooting and scheduling repairs.
- Assist in keeping the office environment organized to support daily operations.
- Prepare reports, presentations, physical and digital forms, surveys, signs, and other documents as directed.
- Assist with scheduling and coordinating meetings and training sessions, including reserving rooms and handling A/V needs.
- Support logistics for trainings, events, and activities.
- Proofread and edit departmental materials for accuracy and clarity.
- Print and distribute instructor and staff business cards.
- Process credit card payments as needed.
- Assist in coordinating with other divisions for projects and general assistance.
- Manage correspondence with guests and staff in a timely and professional manner.
- Collaborate on and complete projects in a timely manner.
Guest & Staff Communications
- Serve as an informational resource for staff, managers, and guests.
- Assist in reading daily guest comments and flag individual comments for employee recognition or Skier Services response.
- Assist in creating, proofreading, and editing Skier Services materials, including signs, reports, manuals, brochures, training documents, and presentations while following all brand and marketing guidelines.
- Build and maintain digital forms for guest and staff use.
- Assist in coordinating content for digital displays and troubleshooting errors.
- Support updates to Skier Services information on the Deer Valley website and Field Guide.
Data & Analysis
- Assist in collecting information on competitor products, pricing, and market trends.
- Assist in researching and reporting unauthorized ski instruction and lift ticket sales.
- Analyze and monitor business trends.
Operations Support
- Coordinate updates to and distribute seasonal Ski Instructor Rep List for ski products.
- Assist in the distribution of complimentary ski equipment to instructors.
- Support in the printing and tracking of divisional complimentary lift tickets.
- Assist with packaging and mailing guest items to the appropriate address.
- Help in Skier Services and other areas as needed during holidays and busy periods.
QUALIFICATIONS:
- Proficient in Microsoft D365, including, but not limited to, Word, Excel, PowerPoint, Publisher, SharePoint, OneDrive, Outlook, and Microsoft Teams
- Knowledge of current Skier Services computer programs and systems preferred
- Excellent multi-tasking and organizational skills
- Excellent writing/editing capabilities
- Strong communication skills in order to work with all departments and other divisions
