About the Opportunity

As part of the Complext Payment Solutions team, you will, as Manager, Health Information Technology, be responsible for overseeing and directing all aspects of medical record procurement and the call center operations that support timely and compliant retrieval of health records. This role ensures that record retrieval processes meet internal performance benchmarks, regulatory standards, and client expectations. The Manager will lead a cross-functional team, implement workflow improvements, and collaborate with internal and external stakeholders to optimize outcomes. Ensures excellent customer service and establishes effective relationships. This role is also accountable for driving service excellence, fostering cross-functional collaboration, and supporting strategic initiatives related to health information operations.

What you'll do



  • Lead and mentor cross-functional teams responsible for medical record/document procurement, call center operations, provider, and client communications.
  • Develop performance goals, KPIs, and expectations for staff.
  • Serve as the operational lead for system enhancements, implementations, and integrations related to record retrieval platforms, customer portals, and call center software.
  • Cultivate a high-performing, accountable, and collaborative team culture through regular coaching, performance evaluations, and development plans.
  • Oversee daily operations of all health record retrieval processes including outbound calls, follow-up, escalations, and data entry.
  • Ensure adherence to HIPAA, service level agreement (SLA), quality, and federal/state compliance requirements.
  • Monitor productivity metrics and real-time adjustments to workflow and staffing to optimize performance.
  • Partner with the IT and product teams to validate system requirements, ensure seamless integration of internal platforms and manage data flow accuracy across systems.
  • Lead or support User Acceptance Testing (UAT), including coordination of test cases, user feedback, and issue resolution to ensure new workflows meet operational needs.
  • Identify system gaps and usability challenges, collaborating closely with developers and product owners to drive continuous improvement.
  • Create and maintain SOPs, training materials, and operational manuals.
  • Conduct root cause analyses and implement corrective actions for any service disruptions or performance deviations.
  • Serve as a primary point of contact for providers, clients, and internal stakeholders, resolving escalations and ensuring high service standards.
  • Analyze call center and record retrieval performance metrics regularly.
  • Develop and present operational dashboards to leadership.
  • Forecast workload, resource needs, and potential performance risks based on historical and real-time data trends.



What experience you bring (Role Requirements)

  • A bachelor's degree in Healthcare Administration, Health Information Management, or a related field may be considered in lieu of direct payment integrity experience.
  • Minimum of 5 years' experience in medical insurance, health information management, or healthcare operations.
  • Minimum of 5 years' leadership experience
  • In-depth knowledge of HIPAA, PHI protocols, and medical record workflows.
  • Strong proficiency in healthcare technology platforms and reporting tools (e.g., EMRs, call center software, Excel, VLOOKUP, Power BI).
  • Exceptional communication skills, both written and verbal with ability to clearly present data and details to management and senior leaders
  • Ability to work independently, manage multiple priorities, and meet deadlines in a demanding environment.
  • Advanced problem-solving and critical thinking skills, with the ability to assess challenges, perform root cause analysis, and implement scalable solutions.
  • Demonstrated experience supporting or leading system migrations, including managing data and workflow transitions across platforms.
  • Ability to work across multiple systems and platforms, ensuring alignment between tools, workflows, and data accuracy.
  • Firsthand experience leading or supporting system implementations, enhancements, and integrations, including coordinating UAT, workflow adjustments, test scripts, and cross-functional collaboration.

Pay range: $80,000-$100,000 USD

This is an exempt position.The salary range is for Base Salary.Compensation will be determined based on several factors including, but not limited to, skill set, years of experience, and the employee's geographic location.
