POSITION SPECIFICS

The Student Support Suite in the College of Engineering at Penn State is seeking an experienced, proactive, and highly organized Administrative Support Manager to join our dynamic team. This leadership role is critical in ensuring the operational efficiency of the unit and supports the Director of the Center for Outreach and Inclusion (CEOI) and the Assistant Dean for Academic Support and Global Programs.

The ideal candidate will be a strategic thinker with a proven track record in administrative operations, staff supervision, and financial and personnel management. This position demands a high level of professionalism, discretion, and attention to detail, along with the ability to thrive in a fast-paced, multifaceted environment.

RESPONSIBILITIES

  • Serve as the primary assistant to the Director of CEOI and Assistant Dean, providing high-level administrative and operational support.

  • Supervise, train, evaluate, and support a team of full-time administrative staff.

  • Oversee day-to-day office operations, ensuring seamless and efficient workflow.

  • Manage and safeguard confidential personnel and budget documentation.

  • Serve as primary liaison and initiator with Finance HUBs for completion for budgetary, reporting, and complex financial transactions.

  • Coordinate with College HR for faculty and staff recruitment, onboarding, and hiring processes.

  • Support and coordinate internal academic programs, including academic integrity cases, faculty senate petitions, and embedded study abroad initiatives.

  • Plan, lead, and direct activities related to event management; develop itineraries, budgets, objectives, and assessment procedures.

  • Collect, analyze, and present data to inform planning and decision-making.

  • Ensure strict compliance with all University policies, procedures, and standards.

Qualifications and Competencies

  • Proven leadership experience in administrative or operations management.

  • Outstanding organizational, communication, and analytical skills.

  • Strong problem-solving ability and independent decision-making skills.

  • Demonstrated ability to manage multiple priorities with precision and professionalism.

  • High level of discretion when handling sensitive and confidential matters.

  • Advanced proficiency with Microsoft Office 365 (Word, Excel, PowerPoint) and Adobe.

  • Meticulous attention to detail and a commitment to process improvement.

  • A collaborative mindset and dedication to fostering a positive, inclusive, and supportive work environment.

  • Commitment to mentoring and developing professional staff.

  • Open to learning new skills and software skills as needed.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 8+ years of relevant experience, includes 3+ years of supervisory experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $51,000.00 - $74,000.00.
