Job Details:

General Notes This position is located in San Antonio, Texas, on the UT Health Science Center at San Antonio campus and will be required to travel to the UT Austin main campus in Austin, Texas, periodically. May occasionally be requested to work additional hours or weekends as needed to complete time-sensitive projects or facilitate events and programs. Must be eligible to work in the U.S. on a full-time basis for any employer without sponsorshipPurpose

The Academic Program Coordinator in the PTSCI Division of the College of Pharmacy reports directly to the Division Heads to provide complex academic program and administrative support for Pharm.D. students, graduate students, and residents. Administrative support for the Regional Internship Program in San Antonio, under the direction of the Regional Internship Program Director. This position supports the University of Texas Health Science Center at San Antonio and the Pharmacotherapy Education and Research Center (PERC), both of which are located in San Antonio, Texas.

Responsibilities

  • Coordinate the PharmD Program in San Antonio to include student onboarding, orientation, rotations, meetings, graduation, and other activities. Assist the Regional Internship Program Director with all aspects of the program, including preceptor recruitment, onboarding, and maintenance. Coordinate evaluations, awards, and training, and prepare academic paperwork and reports for facilities that host students.

  • Coordinate the Pharmaceutical Sciences Graduate Program including student orientation, onboarding and rotation paperwork, thesis/dissertation binding, graduation requirements and events, and other activities.

  • Coordinate the Pharmacy Residency Program including orientation, and resident onboarding.

  • Create and maintain confidential files and directories of all learners.

  • Coordinate program events and activities for learners in San Antonio.

  • Administrative support for Clin Cards or payment vouchers for research studies, including issuing, tracking, and reconciling expenditures.

  • Other duties as assigned.

Required Qualifications
  • Bachelor's degree and one (1) year of experience coordinating or administering an academic program.

  • Aptitude to function independently exercising initiative, judgment, resourcefulness and confidentiality.

  • Demonstrated excellent organizational skills. Ability to be flexible in a fluctuating and fast-paced professional office environment.

  • Ability to communicate effectively with students, faculty, and staff.

  • Experience working with spreadsheets such as Microsoft Excel or Google spreadsheet.

  • Ability to perform complex administrative functions requiring multitasking skills.

  • Ability to work on campus with regular and punctual workplace attendance.

    Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • More than one (1) year of work experience in an academic setting.

  • Experience with event planning and coordination.

  • Experience with MS Office, Teams, and Zoom.

  • Experience in administrative support in a higher education environment.

  • Knowledge of and experience in UT Health Science Center mainframe systems, or administrative experience in any UT System institution.

Salary Range
$50,000+ depending on qualifications
