Job Summary

Under the general direction of the Division Manager, the Administrative Officer 3 provides high-level administrative and operational support for Hematology faculty. This role manages both inpatient and clinic schedules for Hematology Teams A-D, coordinating with faculty, clinic schedulers, and administrative staff to ensure accuracy and efficiency. The position also delivers executive support, including calendar management, travel planning, event coordination, and communication with internal and external stakeholders. Additional responsibilities include supporting recruitment and onboarding, managing QGenda scheduling technology, overseeing HR and lab administrative functions, and assisting with grant submissions and faculty initiatives. The coordinator plays a key role in streamlining workflows, ensuring smooth departmental operations, and serving as a liaison across clinical, academic, and administrative functions.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $86,500 - $129,700 (Annual Rate).

Department Description

The Division of Hematology/Oncology is the largest Division in the Department of Medicine. Currently, the Division has 90 Full-time faculty, 11 part-time and/or volunteer faculty, 29 ACGME and non-ACGME fellows, 22 post- doctoral fellows, 32 Non-faculty appointments and 48 administrative and research staff. The Division's primary research, clinical and teaching functions are primarily split between the Parnassus and Mission Bay campuses, although the faculty, fellows, and staff have appointments and clinical, research, and educational activities at ZSFG, and VAMC as well.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • Minimum 3+ years of directly relevant experience
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
  • Knowledge of a variety of administrative operational activities such as purchasing, reimbursements, scheduling, event management
  • Solid knowledge of common University-specific computer application programs
  • Ability to use discretion and maintain confidentiality
  • Strong skills in short-term planning, analysis, problem-solving, and customer service
  • High level of attention to detail
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management
  • Familiarity and knowledge of grant processes (data gathering, analysis and submittals)
