***Must have an active DOD Top Secret or active DOE Q clearance. Active, meaning the individual granted a clearance is briefed and currently occupies a position for which the clearance is required.***

Leidos is looking for a high-performing and experienced executive assistant to provide direct support to the National Nuclear Security Administration's Office of Defense Programs. This position requires demonstrated office management expertise, superior professional demeanor, and the ability to learn and accomplish a wide variety of day-to-day responsibilities. The position requires experience exercising mature judgment and making independent decisions in accordance with established policies, rules and procedures. The ideal candidate will have experience working in a classified environment and an understanding of policies and procedures applicable to support NNSA programs. The individual must be self-starting, possess an ability to work in a highly dynamic environment, and have an ability to interface with a broad range of federal and military senior staff and leadership.

This role serves as a primary point of contact for federal managers, facilitating communication with internal and external stakeholders through various channels including written, verbal, and in-person interactions. Key responsibilities encompass managing correspondence, preparing briefings and reports, coordinating schedules and travel for federal managers, and overseeing program review meetings. The position also involves processing and securing sensitive documents, managing office logistics, including support for employees and facilities, and maintaining security protocols for classified materials and secure areas. Additionally, the role includes distributing and tracking action items, managing specific governmental requests like Visit Requests and correspondence packages, and preparing monthly contract reports.

This is a full-time position onsite at the DOE Headquarters Forrestal Building in Washington D.C.

Primary Responsibilities:

  • On behalf of the federal managers, operate as the primary point of contact with all interfacing organizations and functions.
  • Communicate effectively and efficiently to internal and external stakeholders in writing, on the phone, and in person to assist federal leadership in accomplishing critical program-related decisions.
  • Facilitate senior management correspondence and communication including preparing briefings, memos, and correspondence with minimal oversight, as well as accurately compose and prepare effective correspondence and reports.
  • Coordinate and manage activities including federal managers' schedules and travel; coordinate schedules, venues, and participants for monthly and quarterly program reviews; follow up on travel arrangements, review and track travel requests and process vouchers.
  • Process and securely handle controlled and classified correspondence and documents; function as a safe custodian for office safes containing classified materials.
  • Prepare and distribute office correspondence, briefings, weekly activity reports, visit requests and other office documents.
  • Prepare secure video teleconferences with multiple government agencies.
  • Distribute the organization's action items to appropriate program and departmental elements and track status to completion.
  • Process Visit Requests, Sensitive Compartmented Information (SCI) and Sigma requests.
  • Manage the DOE Electronic Document Online Correspondence and Concurrence System (eDOCS) packages.
  • Submit monthly contract reports, which include proofreading and editing incoming reports.
  • Manage logistics, onboarding and departing requests for federal and contractor employees.
  • Manage access lists, combinations, and daily schedule for secure conference rooms.
  • Conduct inventories, documentation and destruction of records and end of day security checks as required.
  • Manage facilities support and office space.
  • Maintain awareness of and competence in headquarters initiatives for communication and information sharing.

Requirements:

  • Active DOE Q or DOD Top Secret clearance.
  • Bachelor's degree with 5+ years of demonstrated executive assistant experience.
  • Demonstrated persistence in following through on action items and issues to closure.
  • Excellent written and verbal communication skills with demonstrated experience in producing correspondence and briefings for senior managers.
  • Proficiency in the Microsoft Office suite with particular emphasis on word processing, presentation, and spreadsheet applications (MS Word, MS PowerPoint, MS Excel, and SharePoint).
  • Ability to maintain attention to detail in a multi-project work environment, with potential frequent interruptions, with competing needs requiring clear understanding of prioritization.

Desired Qualifications:

  • Experience working in a federal government office.
  • Proficiency in ConcurGov travel system, ATAAPS federal timekeeping system, SharePoint Online, and milestone reporting tools.
  • Experience maintaining physical security of classified safes, including all content, from creation through destruction in accordance with applicable regulations.
  • Nuclear weapons program experience.

Salary Range for this position: $100K and $107K
