Overview

The Oversize/Overweight (OSOW) Logistics and Permit Coordinator is responsible for supporting transportation operations by securing and managing oversize/overweight permits, ensuring compliance with state and federal regulations, and coordinating routing and permit requirements for equipment moves. This role supports the safe and compliant transportation of heavy equipment and construction machinery, operating primarily under the DOT shorthaul exemption. The position plays a key part in maintaining regulatory compliance, supporting dispatch operations, and facilitating efficient and safe transport of Caterpillar and Allied equipment. It requires close coordination with operations, dispatch, and drivers to verify compliance, secure accurate permits, and ensure proper routing.

Responsibilities

  • Contributes to a positive work environment and promotes the vision, mission and values of BMC.
  • Completes all job responsibilities in a safe manner, promotes and champions a safe and healthy work environment.
  • Apply for and manage oversize/overweight permits for Blanchard's operations.
  • Order, maintain, and update various permit types, including:
    • 7axle branch transfer permits
    • 8axle dozer branch transfer permits
    • 8axle excavator branch transfer permits
    • 13axle branch transfer permits
    • State line permits
    • Quarry permits
    • Key jobsite permits
    • Annual blanket permits
    • Single-trip permits
  • Track permit approvals, expiration dates, revisions, and ensure valid documentation is distributed.
  • Support operations conducted under the DOT shorthaul exemption, ensuring adherence to applicable regulations.
  • Review load dimensions, weights, axle configurations, and equipment setups for permitting accuracy.
  • Determine permit requirements across jurisdictions and plan compliant routes by evaluating restrictions such as bridges, construction zones, curfews, seasonal limits, heigh/weight limitations, and bridge laws.
  • Identify and process escort, pilot car, survey, or utility requirements as needed.
  • Verify approved routes and permit conditions prior to release to drivers.
  • Stay current on OSOW regulations, shorthaul exemptions, and seasonal or holiday travel restrictions.
  • Communicate permit details, routing information, and restrictions clearly to dispatchers, drivers and/or customers (as needed).
  • Collaborate with inside and outside sales representatives regarding upcoming jobsites or projects.
  • Contact customers for updated or missing information needed for permit processing.
  • Serve as a liaison between permitting authorities, operations, and customers.
  • Maintain organized permit files and compliance records.
  • Collaborate with dispatchers, supervisors, and fleet coordinators with permittingrelated tasks and general administrative duties including but not limited to: billing/invoicing, email triage etc.
  • Perform other duties as assigned related to permit administration, transportation support, and compliance.


Qualifications

  • High School Diploma or equivalent required.
  • Minimum 1 year of experience in transportation, logistics, dispatch, or construction hauling, preferably involving heavy equipment or construction machinery.
  • Basic understanding of DOT regulations and shorthaul operations, with the ability to learn additional requirements.
  • Strong attention to detail and excellent organizational skills.
  • Proven ability to manage multiple tasks and respond effectively to timesensitive requests.
  • Strong written and verbal communication skills.
  • Strong interpersonal skills, with the ability to communicate clearly across teams and departments.
  • Ability to work effectively in a fastpaced environment and consistently meet deadlines.
  • Ability to understand and follow instructions delivered in writing or verbally
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience transporting heavy equipment or construction machinery, preferred.
  • Familiarity with oversize/overweight permits and state DOT permitting portals, preferred.
  • Experience in dispatch, fleet coordination, or operations support, preferred.
  • Knowledge of DOT short-haul exemption requirements, preferred.

Working Conditions

  • The physical environment requires the employee to work primarily inside throughout the day.
  • Position may require employees to be physically present at designated worksite locations.
