About the Role

Westlake Pipe & Fittings is seeking a highly organized and proactive Executive Administrative Assistant to support the Vice President, Global Compounds and the Vice President, Pipe & Fittings. This role serves as a key partner to senior leadership, providing high-level administrative and operational support while ensuring the efficient management of executive priorities.

This position requires a strong background in executive support, excellent organizational and time management skills, and the ability to anticipate needs in a fast-paced corporate environment. The ideal candidate will demonstrate professionalism, sound judgment, discretion, and the ability to manage multiple priorities while supporting two senior executives simultaneously.

This role is based in Houston, TX and operates in a hybrid capacity, with flexibility required based on business needs and executive schedules.

What You'll Do

  • Manage complex executive calendars, including scheduling meetings, coordinating priorities, and resolving scheduling conflicts
  • Coordinate domestic and international travel arrangements, including itineraries, logistics, and visa documentation when required
  • Serve as a gatekeeper for incoming communications by screening and prioritizing requests while ensuring timely follow-up and response
  • Prepare and submit expense reports, purchase requisitions, and purchase orders; familiarity with SAP or similar systems is a plus
  • Coordinate logistics for executive meetings, leadership sessions, and Quarterly Business Reviews (QBRs) including room setup, meeting materials, agendas, and follow-up actions
  • Prepare presentations, reports, and supporting materials with strong attention to detail
  • Manage documentation and approvals using tools such as DocuSign and internal approval workflows
  • Collaborate closely with other Executive and Administrative Assistants across the organization to coordinate meetings, travel schedules, and leadership events
  • Support the routing of contracts and approvals in alignment with the company's delegation of authority process
  • Maintain the highest level of professionalism and confidentiality when handling sensitive or proprietary information
  • Anticipate executive needs, proactively resolve scheduling or logistical challenges, and ensure executives remain focused on strategic priorities

Qualifications

  • High School Diploma or GED required; Bachelor's degree preferred
  • 5+ years of experience supporting senior executives in an administrative capacity, ideally within a corporate, manufacturing, or industrial environment
  • Proven ability to support multiple executives simultaneously while managing complex schedules and competing priorities
  • Experience supporting C-suite, EVP, or VP-level executives in a large corporate environment preferred
  • Demonstrated experience coordinating domestic and international travel, including travel documentation and visas
  • Experience preparing expense reports, purchase requisitions, and purchase orders; familiarity with SAP or similar systems is preferred
  • Strong organizational and time management skills with exceptional attention to detail
  • Excellent written and verbal communication skills with the ability to interact effectively with executives, internal leaders, and external stakeholders
  • Proactive problem-solver with the ability to anticipate needs and operate independently in a fast-paced environment
  • Strong technology proficiency including Microsoft Office (PowerPoint, Excel, Word, Outlook), SharePoint, and collaboration tools
  • Familiarity with emerging productivity tools such as Microsoft Copilot or AI-enabled workplace tools is a plus
  • Demonstrated ability to maintain strict confidentiality and professionalism when handling sensitive information
  • Collaborative team player who is adaptable, resourceful, and confident navigating ambiguous situations

Work Environment

This role operates primarily in a professional office environment. Occasional visits to operating units may be required, which may involve exposure to manufacturing environments requiring appropriate PPE such as safety glasses, hearing protection, and other safety equipment.

Physical Demands

This position requires frequent sitting, standing, walking, and communication. Occasional bending, reaching, and lifting of light materials (up to 10 pounds) may be required. Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
