Position Summary

We're looking for a dynamic Order Management Specialist to drive the full lifecycle of commercial orders for our audio products. You'll own order entry, review, and fulfillment while serving as the main point of contact for customers and internal teams. This role blends customer interaction, sales support, and data-driven decision making-requiring someone who can keep multiple moving parts aligned, ensure accuracy in pricing and compliance, and provide timely insights to the business. Job Description

Essential Duties & Responsibilities:

  • Manages the ERP order entry and maintenance of commercial orders.
  • Leads Order review process of all Audio Products orders.
  • Provides timely updates to customers and sales team regarding change of order status.
  • Performs ERP system data mining, reporting and analysis.
  • Ensures compliance with product pricing, purchase order terms, and Ultra's terms and conditions of sale
  • Serves as a liaison with customers (internal and external) on all matters affecting customer orders including expedites.
  • Provides customer support on questions.
  • Facilitates HyperSpike quotes as well as all subsequent follow up.
  • Serves as the first point of contact (POC) for all customers.
  • Works with the appropriate departments to adjust lead times as needed.
  • Coordinates with all other necessary departments to ensure customer's needs are met.
  • Organizes and provides weekly or monthly data metrics/reports to support business needs.
  • Serves as inside sales support for outside sales representatives, including providing quotes, providing relevant documents for projects, or coordinating internally with other departments to provide support to sales staff.
  • Runs weekly meetings with operations and planning to review production schedule and take any necessary actions
  • Provides weekly updates to key customers in the form of open order reports, and meetings as needed.
  • Coordinates with finance to ensure customers are not delinquent on payments and take necessary follow up actions if so.
  • Provides data related to forecast to support business needs.
  • Manages onboarding of new customers (i.e. vendor forms, setting up payment terms, etc.)
  • Manages all tasks related to exports (screening compliance, customer forms, export regulations) in order to be export compliant.
  • Supports management of demo inventory and shipping of demos to customers.
  • Supports incoming sales and customer service inquiries, and follow up as needed.

Required Skills/Experience:

  • Bachelor's degree in business administration, marketing, communications or the equivalence in experience.
  • Demonstrated ability to successfully manage multiple project deadlines and produce results.
  • Strong professional written and verbal communication skills
  • Proven ability to manage time effectively
  • Excellent administrative and organizational skills
  • Demonstrated ability to be customer-focused and results-driven
  • Intermediate skills with Microsoft Office

Preferred Skills:

  • 3-5 years' experience in Customer Service or Inside Sales
  • Experience with new customer acquisition
  • Experience working in distribution channel markets
  • Experience with foreign customers include export control
  • Experience with Military procurement and navigating DoD contracts

Other Requirements:

  • US Person
  • Must have a valid driver's license
  • Ability to lift up to 50 lbs. in order to move product items around
